ADMINISTRATIVE ASSISTANT- Cypress Falls at the Woodlands HOA, North Port, FL

Essential Customer Service Oriented Duties
- Maintains positive guest relations at all times. Responds to phone calls, e-mail and questions from residents, guests, and vendors in a professional, efficient and timely manner.
- Demonstrates excellent customer service, communication and time management skills.
- Prepares welcome packets for new residents.
- Participates in proactive team efforts to achieve departmental and company goals.
- Prepares notices of community covenant violations and/or non-compliance.
- Manages administrative documentation such as sale or transfer applications, ARC applications, golf cart applications, room rental application, etc.
- Manages online facility scheduling platform, Skedda.
Essential Data/File Management Oriented Duties
- Website Maintenance - Uploads association documents, verifies information for accuracy, ensures web content is current and relevant.
- Assist in maintaining the community’s hard files and Caliber database.
- Distributes invoices to department heads for coding/Code invoices and submit for processing.
- Manages access control database for key fobs and gate remotes.
- Organize clubhouse foyer with flyers from lifestyle events and newsletters.
- Maintains inventory of office supplies.
- Handle multiple projects simultaneously.
- Other duties as assigned by the Assistant Community Manager.
Hours/Days: Monday – Friday, 8:00 am – 4:30 pm.
Experience/Requirements: High School Degree minimum; or two years related experience and/or training; or equivalent combination of education and experience. Must have experience in MS Office Suite and database maintenance.
