Job Summary: The Diagnostic Services Coordinator is responsible for maintaining the integrity and accuracy of client-facing test menus and panel configurations. This role serves as the operational owner of test menu governance by reviewing test offerings, monitoring state-specific restrictions, auditing panel configurations, and identifying discrepancies before they impact clients.

Working closely with Operations, Client Success, Quality Assurance, IT, and Laboratory leadership, this position helps ensure that approved test offerings are accurately represented within company systems and that client-specific configurations align with established organizational requirements.

This position is administrative and operational in nature and does not perform laboratory testing, establish clinical policies, interpret regulatory requirements, or approve laboratory procedures.

Job Responsibilities

  • Audit laboratory test menu configurations across operational systems, including Labgen, Salesforce CPQ, provider portals, and EMRs, ensuring alignment with laboratory-approved offerings.
  • Review newly created or modified test panels to verify accuracy, consistency, and approved test availability.
  • Monitor state-specific testing requirements, with a primary focus on New York regulations, ensuring client-specific configurations comply with applicable restrictions.
  • Identify configuration discrepancies, prohibited testing combinations, or system inconsistencies, and coordinate resolution with Laboratory, Quality Assurance, IT, Compliance, and Operations teams.
  • Maintain audit logs, documentation, and standard operating procedures related to test menu governance, configuration management, and operational changes.
  • Validate system updates following approved test menu changes and assist with testing new panel configurations prior to client implementation.
  • Serve as the primary Operations resource for questions related to test availability, panel composition, and configuration standards.
  • Partner cross-functionally with Client Success, Laboratory, Sales, Customer Service, IT, and Quality teams to support client onboarding, configuration requests, and operational initiatives.
  • Perform routine audits of client accounts, including scheduled reviews of New York provider configurations and other state-specific testing requirements.
  • Monitor configuration requests and operational work queues, escalating issues and recommending process improvements to enhance quality, efficiency, and compliance.
  • Support client operations by assisting with supply orders, account maintenance, provider portal support, CRM updates, and order entry as needed.
  • Prepare reports, audit summaries, and operational documentation while supporting special projects and continuous improvement initiatives.
  • Cross-train within Client Success and Operations functions to provide departmental support during periods of increased workload or team absences

Qualifications & Skills

  • Associate's or Bachelor's degree in Healthcare Administration, Life Sciences, Biology, Medical Technology, Business Administration, Information Systems, or a related field preferred.
  • Equivalent combination of education and relevant experience may be considered.
  • 2-5 years of experience in healthcare, clinical laboratory operations, diagnostics, laboratory information systems, or healthcare operations.
  • Experience working in a regulated healthcare or laboratory environment.
  • Experience reviewing, validating, or maintaining operational data with a high degree of accuracy.
  • Experience working across multiple departments to resolve operational issues.
  • Experience supporting clients or internal stakeholders.
  • Experience working with clinical laboratory test catalogs or laboratory test menus.
  • Experience supporting New York State laboratory regulations or other state-specific testing requirements.
  • Experience with laboratory information systems (LIS) such as Labgen or similar platforms.
  • Experience with Salesforce, CRM platforms, or CPQ configuration.
  • Experience with electronic medical records (EMRs) and provider portals.
  • Experience performing quality assurance reviews, audits, or compliance monitoring.
