Orthodontic Practice Manager
Position Overview
We are seeking an experienced and driven Ortho Office Manager to lead daily operations, support clinical excellence, and drive patient satisfaction across our orthodontic practice. This role is responsible for overseeing team performance, optimizing workflows, and ensuring a high standard of care and service for every patient.
The ideal candidate is a proactive leader with strong dental/orthodontic experience, exceptional communication skills, and a passion for building high-performing teams.
Key Responsibilities
Operations Management
· Oversee daily operations of the orthodontic practice to ensure efficiency and productivity
· Manage scheduling, patient flow, and office systems to maximize provider productivity
· Monitor KPIs including production, collections, case acceptance, and patient retention
· Ensure compliance with OSHA, HIPAA, and company policies
Team Leadership & Development
· Lead, coach, and develop front and back office team members
· Conduct performance reviews, provide feedback, and support employee growth
· Partner with HR on hiring, onboarding, and employee relations
· Foster a positive, accountable, and patient-centered culture
Patient Experience
· Ensure an exceptional patient journey from first contact through treatment completion
· Address patient concerns and resolve escalated issues professionally
· Support treatment coordinators in increasing case acceptance
Financial & Administrative Oversight
· Manage office budget, expenses, and financial performance
· Oversee billing, insurance processes, and collections
· Ensure accurate reporting and daily/weekly/monthly reconciliation
Clinical Support Coordination
· Partner closely with the Orthodontist(s) to align operational and clinical goals
· Ensure proper staffing levels to support clinical efficiency
· Maintain inventory and ensure equipment readiness
Qualifications
· 5 years of dental or orthodontic office management experience (orthodontics preferred)
· Strong understanding of dental practice operations, insurance, and billing
· Proven leadership and team management experience
· Experience with dental practice management systems (e.g., Denticon)
· Knowledge of KPIs, reporting, and performance metrics
· Excellent communication, organizational, and problem-solving skills
Preferred Qualifications
· Multi-site management experience
· Experience in a high-growth or DSO environment
· Background in treatment coordination or case presentation
