Job Summary
We are seeking an energetic and detail-oriented Practice Administrator to lead the daily operations of our healthcare practice. This vital role involves overseeing administrative functions, managing staff, ensuring compliance with healthcare regulations, and maintaining financial health. The ideal candidate will bring strong medical office management experience, exceptional leadership skills, and a passion for delivering excellent patient care.
Essential Responsibilities
1) Operations & Access
- Direct daily clinic operations, front-desk workflows, registration, scheduling, and patient flow; remove barriers to timely access and care coordination.
- Manage provider templates and schedules in the EHR/practice management system; monitor no-show/cancellation patterns and implement access improvements.
- Coordinate facilities, supplies, and vendor services; maintain equipment and environmental readiness.
- Lead continuous improvement initiatives (Lean/PDSA), define SOPs, and implement best practices across sites.
2) Financial Management & Revenue Cycle
- Collaborate on operating and capital budgets; monitor budget variance, expense controls, and financial KPIs; prepare monthly operational/financial reports.
- Oversee full revenue cycle (registration, eligibility, charge capture, coding, billing, AR, denials); track payor mix, RVUs, collections, and days in AR; ensure timely billing edits and encounter closure.
- Support cash controls and reconciliation in alignment with organizational policy.
- Own the Sliding Scale fee process/policy and ensure standardization and accurate implementation.
3) Human Resources, Staffing & Culture
- Hire, train, schedule, supervise, and evaluate administrative staff; set goals, coach performance, and manage corrective actions; foster a mission-driven, inclusive culture.
- Partner with clinical leaders on staffing models, provider onboarding, and change management during growth or service expansion.
4) Compliance, Risk & Quality
- Ensure compliance with HIPAA, OSHA, payer and accreditation standards; support Joint Commission readiness as applicable.
- Maintain policies/procedures; incident reporting, service recovery, and corrective action plans; support quality and patient safety initiatives.
5) Patient Experience & Community Relations
- Promote a welcoming, culturally sensitive environment; respond to concerns, drive service recovery, and monitor patient satisfaction data and action plans.
- Serve as liaison to community partners and referral sources to streamline care coordination and access.
6) Data, EHR & Reporting
- Optimize EHR/practice management use; ensure user access controls, training, and reporting; produce monthly operational statistics and dashboards.
7) Volunteer & Student Coordination
- Recruit, schedule, orient, and supervise administrative volunteers and students; maintain databases and statistics; support appreciation events and community engagement.
8) Strategic Projects & Grants
- Contribute to business planning for new services/sites and capital needs; partner on grant budgeting, reporting, and compliance in coordination with leadership and finance.
- Education: Bachelor’s degree required (health/business/public administration or related); Master’s preferred. Equivalent progressive healthcare management experience may substitute per organizational policy.
- Experience: 3–7 years in ambulatory/medical group management with supervisory responsibilities; revenue cycle and budgeting experience preferred; multi-site experience a plus.
- Skills: Operations leadership, staff development, financial acumen, EHR/practice management proficiency, data analysis, communication, attention to detail and problem-solving. Advanced computer skills, including Microsoft Office applications, experience with Athena a plus.
- Certifications (preferred/role-dependent): CPR; if clinically credentialed (e.g., RN), must hold current licensure and meet competency standards.
