Overview
The Operations Manager is a highly critical role at Access Bronx Charter School. The Operations Manager manages the systems necessary to support all academic and non-academic components of their assigned site under the guidance of the Director of Operations. This role is responsible for the site’s facility/IT management, program operation, student information/ accounts, reporting and compliance with charter and all laws and regulations.
Major Performance Expectations
School Facilities Management
- Manages all aspects of physical structure and exterior areas (e.g. sidewalks).
- Coordinates the move of furniture, equipment and materials when necessary.
- Develops long and short-range maintenance plans/programs (e.g. facilities maintenance plans, energy management plans).
- Directs projects (e.g. site repairs, preventative maintenance, etc.) to ensure completion within established time frames
- Coordinates schedules/procedures and prepares facilities/staff as required for arrival, dismissal, lunch, recess, and special events.
- Manages inventory systems and submits orders and/or requests as needed.
- Ensures orders are being received, stored and/or distributed to the appropriate areas.
- Manages all systems to support the custodial and security team to ensure that all aspects of the facility are well maintained to support a clean/safe environment.
- Coordinates with the Principal to ensure proper and appropriate coverage (in-house or substitute agency) is put in place when needed.
- Actively communicates and enforces policies and procedures.
- Obtains required and recommended FDNY Certifications.
- Ensures that the school is in compliance with DSNY regulations for refuse, recycling and composting.
Office Management
- Supervise the Ops/Office Team and ensure that the team is meeting deadlines for the various task assignments.
- Ensure that daily office tasks are completed in a timely manner (e.g. copy requests, answering phones, attendance calls).
- Maintain an orderly office environment.
- Ensure that the office is covered during office hours and whenever school programming is in session (e.g. regular school day, after school, special events/programs, etc.)
Communication
- Draft and post school wide communications to staff and/or families.
- Communicate coverage needs and plan to staff.
- Provide Spanish translation (written and verbal) when needed
- Ensures that daily attendance calls are made and recorded.
- Ensure that messaging from the Main Office to staff/families/scholars/community is consistent and clear.
Medical Office and Compliance
- Supports the medical office and ensures compliance with DOH requirements, including scholar adherence to Medical Admission Forms and Immunization requirements.
- Communicates expectations for scholar medical room visits and medication administration and enforce policies/procedures.
- Ensures all Covid-related policies/procedures are communicated and enforced.
- Submit requests to the Medical Room for field trip nurses when required.
School Food Service Management
- Manages school food services to ensure food is being prepared and distributed in a timely fashion while upholding DOH standards. If the site does not have a kitchen, the Operations Manager must obtain a Food Handler’s Permit and will be responsible for receiving, storing, and distributing food to scholars.
- Provides daily counts to the kitchen/School Food Office and submit orders for special events (e.g. bag lunches for field lessons).
- Submits meal count reports as required by Department of School Food Services.
- Collects and tracks School Food Application Forms.
Transportation Services
- Receives/distributes Student Omny Cards to eligible scholars and enforces reporting/inventory requirements as outlined by DOE.
- Manages transportation services to ensure eligible scholars receive requested service, and communicate/enforce policies and procedures.
- Coordinates/monitors arrival/dismissal to ensure scholars are safely escorted to/from the bus.
- Submits requests for new stop locations and exceptions.
- Coordinates transportation services for field lessons, special events and summer programming.
School Business Operations
- Evaluates the site’s school operations systems and works with the Director of Operations and Finance to strategically improve systems to increase efficiency.
- Supports budgetary tracking of site related expenses.
- Provides support for e-rate processes, applications, and reports.
- Manages vendors and inspectors.
- Supports fundraising and marketing efforts.
- Works with the Family Services Department to monitor uniform inventory and sales.
Scholar Information Management
- Manages procurement and maintenance of scholar records.
- Ensures entry of required scholar data across all platforms (e.g. PowerSchool, ATS, Class Dojo, etc.) and monitors for accuracy.
- Monitors scholar daily attendance to ensure accurate tracking and oversees the process for tracking/reporting late arrivals and early releases.
Scholar Recruitment and Enrollment
- Implements and monitors scholar recruitment, lottery and enrollment protocols and processes.
- Conducts on-boarding for new scholars/families.
- Ensures registration forms and student files are complete and accurate.
- Supports marketing/recruitment/retention efforts (e.g. canvassing, special events, etc.)
Emergency Response/Preparedness
- Oversees the Building Response Team in coordination with the Principal.
- Coordinates and conducts emergency drills (fire/evacuation, lockdown, code blue, etc.) with the Principal and ensures we are in compliance with the number of drills required each year.
- Ensures emergency packets, supplies, postings and plans are up to date.
- Communicates emergency response protocol to building staff and provides training.
Technology Equipment and Service Management
- Manages inventory of all technology equipment (on-site and loaner devices) and submits status reports as requested.
- Manages HelpDesk support for scholars and staff and submits requests for higher level needs.
- Ensures damaged equipment, dead batteries, and empty ink cartridges are properly disposed of in accordance with NYC Department of Sanitation Guidelines.
- Supports the implementation of software and technology devices.
- Generates/Manages accounts (e.g. email, Google, Dojo PowerSchool, etc.) for staff, parents and scholars.
Credentials/Certifications
- Bachelor’s Degree Required
- CPR/First Aid/AED (Must obtain within 90 days of hire)
- FDNY Certifications (Must obtain within 90 day of hire):
- W07 - Fire and Emergency Drill Conductor Citywide (required)
- S95 - Supervisor of Fire Alarm Systems and Other Related Systems (required)
- S12 - Citywide Sprinkler Systems (recommended)
- Bilingual Spanish (Required)
- At least two years of experience working in a school is required.
