\n- You'll prepare written materials and correspondence.
- You'll manage calendars for project supervisors and inspection staff.
- You'll coordinate meetings, prepare agendas, and take meeting minutes.
- You'll copy and scan documents as needed.
- You'll maintain project logs and documentation.
- You'll handle phone calls, greet visitors, and assist them.
- You'll support communication with project supervisors and inspection staff for document control.
- You'll track financial documents for budgeting.
- You'll manage office duties and support inspection staff, including office supplies.
- You'll serve as a liaison between inspectors and project management/document control.
- You'll coordinate inspector meetings with contractors and stakeholders, including bi-weekly safety meetings.
- You'll organize filing systems from pre-construction to project close-out.
- You'll ensure that inspection issued documents are maintained and in compliance with contract documents and LAWA requirements.
- Onsite at client site: The work location for this role is onsite with our clients and partners to enable delivery and cultivate our client relationships.
- Post-Secondary Education
- 10 years or more experience as an administrative assistant
- Experience with LAWA is preferred for interacting with LAWA, City departments, contractors, and airlines
- Proficient in Microsoft Office Suite and Bluebeam
