Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally while providing exceptional customer service.
- Handle all front desk duties including answering inquiries, scheduling appointments, and maintaining visitor logs.
- Perform data entry tasks with high accuracy using spreadsheets, Microsoft Office applications, and other productivity software.
- Support office management by organizing supplies, maintaining cleanliness, and coordinating administrative tasks as needed.
- Utilize computer skills to prepare Word documents, spreadsheets, and reports that support daily operations.
- Assist with client communication and follow-up to ensure excellent customer support and satisfaction.
Experience
- Prior office or front desk experience demonstrating strong organizational skills and professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with good typing speed and computer literacy.
- Experience with multi-line phone systems and phone etiquette to handle high-volume calls confidently.
- Bilingual abilities are highly valued to serve diverse client needs effectively.
- Knowledge of QuickBooks or similar accounting software is a plus for supporting billing or invoicing tasks.
- Strong clerical skills including data entry, file management, and document processing.
- Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
