Our extensive array of community-based services are fully integrated, bilingual and culturally competent.POSITION OVERVIEW Under the supervision of the Program Director the Secretary will perform skilled clerical work and provide general secretarial support to department administrators. The Secretary will be responsible for assisting with maintaining financial records and facilitating communication among company departments and supporting management, using a variety communication and organizational skills This position is ideal for someone who is motivated, able to prioritize work assignments as they come in, and capable of working without supervision.KEY ESSENTIAL FUNCTIONSGeneral calendar maintenance including prioritizing and scheduling meetingsDrafts and prepares correspondence, memos, and letters for internal and external use at Director’s requestCompiles data for monthly statistics and reports.Completes special assignments, as needed.Compiles and inputs all new patient demographics into NEXTGEN, OASAS, and LabCorpCompletes reconciliation of OASAS and Program Roster on monthly basisPerform related functions necessary to ensure the smooth running of the program’s operations.Attend staff meeting and prepares meeting minutes.Admits and Discharges patients from OASAS.Respond to queries in person, via telephone or email,Perform administrative tasks, including filing and photocopying.Develop and implement office procedures.Contributes to team effort by accomplishing related results as needed,Performs other related duties, as requested.REQUIREMENTSHigh School Diploma or General Education DiplomaMinimum of three (3) years of secretary experience supporting management.Must obtain Mandated reporter (2 hours) within 30 days of hire.Website info: https://nysmandatedreporter.org/TrainingCourses.aspxMust be computer literate (proficiency in MS Word, Excel, PowerPoint and Outlook)Able to multi-task and produce in a fast paced, team orientated environment.Strong analytical skills, organizational skills, follow-up skills and attention to detailsAble to follow through on assignments and meet deadlines.Superb interpersonal skill and ability to interact with individuals at all levels.Able to handle privileged information and maintain confidentiality using judgment, tact and courtesy.WHY JOIN US?Acacia Network provides a comprehensive and competitive benefits package to our employees.
