What are the responsibilities and job description for the HVAC Service Dispatcher position at AC Designs Inc?
For more than 22 years, AC Designs has been helping homeowners across Northeast Florida stay comfortable with dependable heating and cooling services. We’re proud of the company we’ve built—and even more proud of the people who make it possible.
We have an immediate opportunity for an experienced HVAC Service Dispatcher.
This is a customer-focused service dispatch position. You will be the person homeowners turn to when their air conditioning or heating system isn't working properly. You'll listen to their concerns, gather the information our technicians need, schedule the right technician and keep the customer informed throughout the process. You'll balance customer needs, technician availability and changing priorities throughout the day, so staying organized, communicating clearly and keeping your cool are essential.
Key Responsibilities
- Be the first point of contact for homeowners experiencing HVAC problems, providing calm, professional and helpful service by phone and text.
- Listen to customers, ask the right questions and gather information about their HVAC issue so we can determine the appropriate service response.
- Schedule and dispatch service technicians to residential customers based on urgency, technician availability, location and skill set.
- Prioritize service calls, including no-cooling/no-heating situations, system failures, warranty concerns and other customer needs.
- Communicate clearly with customers and technicians throughout the service process, keeping everyone informed of scheduling changes, delays and important job details.
- Coordinate warranty calls, maintenance appointments and service requests, making sure customers receive the appropriate type of service.
- Monitor technician schedules and job progress throughout the day, adjusting appointments as needed to keep the day running smoothly.
- Handle customer questions, scheduling changes and service concerns with patience, professionalism and a problem-solving attitude.
- Create accurate service work orders with complete customer, equipment and service information for the technician.
- Maintain accurate records of service calls, appointments, customer requests, completed work and other relevant information.
- Work closely with service technicians and office staff to ensure customers receive timely, organized and professional service.
