JOB STATEMENT/SUMMARY:
The Administrative Assistant is responsible for providing administrative support to the Director of Workforce Development and, the Workforce Development Unit, intra-inter department activities which includes duties such as handling and responding to both written and verbal communication, preparing correspondence, developing and maintaining a filing system, recording minutes, handling appointment calendar, collating and prioritizing mail, developing tracking and monitoring systems and generating data reports, developing PowerPoint presentations assisting in writing curriculum, and other duties as may be assigned from time to time. In addition, she/he will liaison with other departments as assignments dictate.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Under the supervision of the Director the Administrative Assistant is expected to perform each essential duty of this position in a satisfactory manner. The Administrative Assistant will be responsible for, but not limited to the following:
- Operation of day to day of the department, including data entry, filing, faxing, photocopying, typing, phone calls, etc.
- To support the Director and Workforce Development Unit with projects as assigned.
- Provide coverage for the office including greeting visitors and answering phones
- Create case files for interested participant
- Order and maintain office supplies in addition to processing check request
- Trouble-shoot office equipment repairs and arrange for service
- Manage unit correspondence
- Process bi-weekly time sheets and absence reports
OTHER DUTIES

Attend staff meetings and maintain meeting minutes

Participate in scheduled supervision/trainings

Attend agency-wide/departmental meetings

Qualifications:Education and Experience

Minimum bachelor’s degree in human services, or High School diploma or Equivalent with minimum two to three years of administrative experience.

Working knowledge of community resources and human services an asset.
Specific Skills:
Required
- Good interpersonal, verbal, writing, communication and organizational skills.
- Ability to work in a team oriented environment and handle multiple tasks.
- Strong computer skills, attention to detail, Proficient in MS Office 2000, MS Word, Excel, Outlook, PowerPoint, Access, and MS Internet Explorer. Demonstrate skills to communicate effectively, both verbally and in writing.
