We are seeking a detail-oriented and personable Physical Therapy Receptionist to support front office operations in a fast-paced outpatient clinic. The ideal candidate has experience with prior authorizations, medical billing, and payment posting, along with strong communication and organizational skills. This role is essential in ensuring a smooth patient experience and efficient administrative workflow.
Key Responsibilities:
- Greet and check in patients in a friendly and professional manner
- Schedule, confirm, and manage patient appointments
- Verify insurance benefits and obtain prior authorizations for therapy services
- Handle patient intake, including collecting and updating demographic and insurance information
- Process co-pays, deductibles, and outstanding balances at time of service
- Post payments accurately (cash, credit card, EFT, and insurance payments)
- Assist with medical billing tasks, including claim submission, follow-ups, and resolving denials
- Maintain accurate and up-to-date patient records in the EMR system
- Answer phone calls, respond to inquiries, and direct messages appropriately
- Coordinate with therapists and clinical staff to ensure smooth patient flow
- Maintain compliance with HIPAA and confidentiality standards
- Perform general administrative duties such as filing, faxing, and scanning documents
Qualifications:
- Previous experience in a medical office, preferably in physical therapy or rehabilitation setting
- Hands-on experience with prior authorizations, insurance verification, and billing processes
- Familiarity with payment posting and reconciliation procedures
- Knowledge of EMR/EHR systems and medical billing software
