Job Summary
We are seeking a dynamic and highly organized Clinic Office Manager to lead the administrative operations of our healthcare facility. Duties
- Oversee all clinic administrative functions, including patient scheduling, billing, and record management using EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems such as eClinicalWorks, Epic, Dentrix, or Eaglesoft.
- Supervise and support administrative staff, including receptionists and medical administrative support personnel, ensuring high-quality service delivery.
- Manage fiscal responsibilities such as budgeting, financial management, billing processes, and expense tracking to maintain clinic profitability.
- Ensure compliance with healthcare regulations including HIPAA standards for patient privacy and JCAHO accreditation requirements.
- Coordinate with clinical staff—nurses, physicians, dental professionals—to optimize workflow and resource allocation within the clinic setting.
- Oversee human resources functions including hiring, training, performance evaluations, and staff development initiatives.
- Maintain accurate medical records and ensure proper documentation of medical management activities across all departments.
- Implement practice management strategies to improve efficiency in acute care, dental clinics, or specialty healthcare environments.
- Monitor utilization management and managed care processes to maximize insurance reimbursements and patient care quality.
- Lead efforts in clinic quality assurance programs, including compliance with hospital standards and safety protocols.
Qualifications
- Proven experience in medical office management or healthcare administration within a clinical setting.
- Strong supervisory skills with demonstrated success in managing teams in fast-paced environments.
- Extensive knowledge of medical terminology, medical records management, and HIPAA compliance standards.
- Proficiency with EMR/EHR systems such as eClinicalWorks, Epic, Dentrix, Eaglesoft or similar platforms.
- Solid background in fiscal management including budgeting, financial analysis, and managed care processes.
- Experience working in various healthcare settings such as acute care hospitals or dental clinics is highly desirable.
- Excellent organizational skills combined with the ability to multitask efficiently under pressure.
- Familiarity with human resources practices related to staffing, training and employee relations within a healthcare environment.
