Job Overview
We are seeking a dedicated and detail-oriented Medical Receptionist to serve as the first point of contact for patients and visitors in our healthcare facility. As a Medical Receptionist, you will be responsible for providing exceptional patient service, managing appointment scheduling, handling medical records, and supporting clinical staff with administrative duties. Your role is vital in ensuring smooth clinic operations and maintaining a welcoming environment for all patients.
Responsibilities
- Greet patients and visitors warmly, ensuring a positive first impression while managing check-in and check-out procedures.
- Schedule appointments accurately using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth, while coordinating with clinical staff to optimize daily workflows.
- Verify patient insurance information, process payments, and handle medical billing and collections in compliance with HIPAA regulations.
- Maintain and update electronic health records (EHR systems), ensuring documentation review for accuracy and completeness.
- Answer multi-line phone systems professionally, providing information or directing calls appropriately with proper phone etiquette.
- Manage incoming correspondence, faxes, and mail, ensuring timely distribution and follow-up on pending items.
- Support clinical staff by preparing documentation for care plans, coding procedures with CPT codes and ICD-10/ICD-9 classifications, and assisting with medical records management.
- Uphold confidentiality policies related to health information management and ensure compliance with healthcare regulations such as HIPAA.
- Perform clerical duties including data entry, typing, filing paper records, and maintaining office supplies.
- Assist with clinic operations by coordinating medical scheduling and managing patient flow efficiently in a fast-paced environment.
- Cleaning exam rooms and instruments, as well as general cleaning of the office.
Qualifications
- Prior experience in a medical office setting or healthcare environment is highly preferred; clinic experience is advantageous.
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
- Familiarity with medical billing processes, medical coding (ICD-10/ICD-9), CPT coding, and Medicare procedures.
- Excellent computer skills including proficiency in Microsoft Office applications and health information management software.
- Demonstrated ability to handle sensitive patient information confidentially in accordance with HIPAA policies.
- Exceptional customer service skills with the ability to communicate effectively both verbally and in writing; bilingual abilities are a plus.
- Strong organizational skills with attention to detail in documentation review and appointment management.
- Office experience involving clerical support tasks such as typing, filing, phone communication, and data entry.
