What are the responsibilities and job description for the Office Assistant/File Clerk position at Absentee Shawnee Housing Authority?
Summary of Position: Perform reception duties that present a positive image of the Housing Authority to all clients, business and government representatives, and the public at large; perform clerical duties such as, filing records in the file room to ensure accurate and up to date documentation in files. The position works independently with some lifting when storing boxes for archive records.
- Receives and directs all phone calls received through the switchboard in a pleasant manner * Readily available to great visitors while offering general information about services and applications forms. * Maintain logs for incoming and outgoing calls and correspondence. * Maintains and files paperwork in the appropriate filing system in place. * Retrieve paperwork from files when it is requested * Assist departments to input paperwork into electronic databases, as needed. * Perform regular quality inspections on the file system * Keep logs of files and records checked out by staff * Ensure that sensitive information is safeguarded * Reduce paperwork by disposing non-permanent records periodically or in bulk shred services when needed * Assist in organizing and maintaining office supply and cleaning supply rooms, as needed. * Other duties assigned by supervisor
Pay: From $15.00 per hour
Expected hours: 40.0 per week

- Two years related experience and training or equivalent combination of education and
experience.
- General knowledge of HUD and Indian Housing Programs
- Oklahoma Driver’s license.
- Above average Typing Skills
