Job Summary

Job Summary

Reporting to the Registrar, the Assistant Registrar manages processes related to the academic calendar, class scheduling, curriculum implementation, registration, grades, academic standing, graduation, athletic certification, transfer credit equivalency, and the reporting needs of the office and college. The Assistant Registrar maintains the integrity of the curriculum and the catalog. The position requires both high-level attention to detail and a high degree of flexibility due to the fast-paced, high-volume nature of the office.

Major Duties

  • Assists faculty, staff, and students in the resolution of questions, problems, and issues
  • Assists with the updating of Degree Works in accordance with curriculum changes
  • Implements curriculum changes through updating the Student Information System (Banner) and assisting with catalog updates.
  • Processes in house Registrar forms including, but not limited to, roster correction forms, major changes, degree adjustments and substitutions, catalog term changes, and grade changes. Tracks customer interactions.
  • Manages CIP code reviews and updates, in-house form maintenance and updates, and major change processing
  • Assists with record oversight and maintenance in the SIS and maintains permanent vault records
  • Assists the Registrar with USG academic data collection and National Student Clearinghouse report submission and error correction
  • Manages the implementation of USG eCampus curriculum and course building
  • Assists with academic calendar development and implementation, term set up, end of term processing, transfer equivalency, degree audits, and degree certification
  • Works with the Registrar to ensure compliance with federal, state, institutional, and University System of Georgia regulations related to the Registrar¿s Office and the timely submission of reports to college administration and the University System of Georgia
  • Works with the Registrar to set annual goals and objectives for the office and evaluate processes
  • Manages student workers
  • Performs other duties as assigned and manages all office duties in the absence of the Registrar

Supervisory Controls

  • Provide functional support and data accountability for Banner Student Information (SIS) and Degree Works. This support includes entering updates to include additions and changes from current information and performing checks to make sure the system reflects correct information
  • The Assistant Registrar attends all College Curriculum Committee meetings in person and serves on various other College committees as needed.

Complexity/Scope of Work

  • This position serves as the contact person for faculty, staff, and students who have questions or problems regarding enrollment or records. The position must display excellent communication skills to accurately convey correct answers, quell disputes, and solve problems. In addition, the position must maintain current knowledge on all policy changes.
  • This position maintains permanent student academic records by organizing and updating records in compliance with college, system, state, and federal policy. In addition, the position assists the Registrar in determining how prior academic credit is applied in consultation with academic officials and subject matter experts. In addition, the position provides official academic records for current and former students upon request.
  • With a variety of duties to perform on a regular basis, the position must keep tasks organized and prioritized. The position must function with the highest level of accuracy and attention to detail.
  • This position ensures and enforces compliance on behalf of the College with regard to federal, state, institutional, and University System of Georgia policies. This compliance requires an advanced understanding of the policies.
  • This position provides support of National Student Clearinghouse submissions and manages major change processing and transcript requests, and assists with the certification of graduates.
  • The person occupying this position must practice the highest ethical standards. These high standards are essential, as the areas of admissions and student records offer an array of means to subvert principles. Esteemed ethical behavior is necessary to preserve the integrity of the institution.

  • The position is expected to interact with office coworkers, college administrators, faculty, staff, and students as well as the general public.
  • Interactions are generally through email, phone calls, Teams chat, meetings (in person and online), and walk in traffic with face-to-face communication.
  • The position is student and public facing.

Minimum Qualifications

  • Bachelors Degree from an accredited college or university required
  • 2 years of work experience in a Registrars Office or adjacent fast-paced college or university department

Knowledge & Abilities Required

  • Knowledge of federal higher education policies and the ability to comprehend, interpret, and implement federal, state, system, and institutional policies
  • Demonstrated ability to analyze, synthesize and interpret data, as well as use specialized software applications, including student information systems and analytical tools, specifically Banner 9
  • Knowledge of registrar office related duties and responsibilities.
  • Knowledge of computers and job-related software programs
  • Demonstrated skill in the analysis of problems and the development and implementation of solutions
  • Demonstrated strong oral and written communication skills
  • Demonstrated ability to develop relationships across a wide range of constituents
  • Ability to work evenings and/or weekends as needed

Preferred Qualifications, Knowledge, & Abilities

  • Masters Degree from an accredited college or university
  • 3-5 years of work experience in a Registrars Office or adjacent fast-paced college or university department
  • Knowledge of state and University System of Georgia policies
  • Knowledge of Degree Works scribing
  • Experience in scheduling, academic catalog production and academic curriculum implementation

Physical Demands / Work Environment

  • Most work is performed in an office setting on campus while sitting in front of a computer at a desk or table with intermittent standing.
  • Lifting boxes up to 30 pounds, bending, and stooping
  • Movement across campus
