We are seeking a highly organized, resourceful, and hands-on Brand Activation & Events Manager to lead the planning and execution of Aboard's experiential marketing and event initiatives. This role will serve as the primary owner of event strategy, production, logistics, and performance reporting while helping expand Aboard's presence through strategic partnerships, sponsorships, media opportunities, and brand activations.


This is a full-time, 6-month contract position based in Orange County, California, with travel required.


Position Overview


The Brand Activation & Events Manager will be responsible for executing Aboard's event and experiential marketing programs from concept through post-event reporting.


The ideal candidate is equally comfortable negotiating sponsorship agreements, managing production vendors, coordinating onsite logistics, collaborating with PR and marketing teams, and serving as the primary point of contact before, during, and after each event.


This role requires exceptional project management skills, strong communication, attention to detail, and a willingness to work onsite during event load-in, activation, and load-out periods.


Responsibilities


Event Production & Execution


- Own end-to-end planning and execution of all assigned brand activations.

- Serve as the primary point of contact before, during, and after each event.

- Develop and maintain detailed project plans, timelines, workback schedules, run-of-show documents, and operational checklists.

- Manage all event logistics, including permits, shipping, storage, transportation, staffing, accommodations, and venue requirements.

- Coordinate load-in, setup, activation operations, breakdown, and load-out activities.

- Be present onsite for all activation days and key setup/teardown periods.


Vendor & Fabrication Management


- Source, negotiate, and manage relationships with fabrication partners, production vendors, staffing agencies, printers, and promotional merchandise suppliers.

- Oversee the development and production of booth environments, signage, branded materials, giveaways, swag, and experiential elements.

- Ensure all deliverables are completed on time, within budget, and to brand standards.

- Review production proofs, fabrication drawings, and event assets prior to execution.


Staffing & Operations


- Develop event staffing plans and schedules.

- Coordinate hiring, onboarding, briefing, and management of temporary event staff and brand ambassadors.

- Lead onsite teams and ensure a consistent, high-quality brand experience.

- Manage event operations and troubleshoot issues in real time.


Budget Management


- Build and manage event budgets from planning through reconciliation.

- Track spend across vendors, production, travel, staffing, sponsorships, and logistics.

- Ensure projects remain within approved budgets while maximizing return on investment.

- Provide budget forecasts and status updates throughout the project lifecycle.


Stakeholder Communication & Risk Management


- Maintain clear communication with internal stakeholders and approvers regarding project status, timelines, dependencies, and budget performance.

- Lead recurring project updates and planning meetings.

- Identify potential risks early and proactively develop mitigation plans.

- Escalate critical issues when necessary to ensure successful execution.



Reporting & Performance Analysis


- Define success metrics for each activation.

- Track and report key performance indicators, including attendance, impressions, lead generation, social engagement, earned media, influencer participation, preorder activity, and overall activation performance.

- Lead post-event recap presentations and internal reporting.

- Provide recommendations and learnings to improve future activations.


Qualifications


- 5 years of experience in experiential marketing, event marketing, sponsorships, trade shows, or brand activations.

- Proven experience managing large-scale consumer-facing events from concept through execution.

- Strong negotiation and vendor management experience.

- Experience managing event budgets and production schedules.

- Familiarity with fabrication, environmental design, branded merchandise, and experiential production.

- Experience coordinating media, influencers, creators, or PR initiatives.

- Exceptional project management and organizational skills.

- Ability to work independently in a fast-paced startup environment.

- Willingness to travel and work evenings, weekends, and event schedules as required.

- Experience with project management platforms such as Asana, Monday.com, Wrike, Jira, or similar tools preferred.


Success in This Role


Within the first six months, this individual will have successfully executed high-quality brand experiences, maintained budget discipline, generated measurable brand awareness and lead generation results, established strong vendor relationships, and created repeatable event processes that support Aboard's long-term growth.
