We are looking for detail-oriented and motivated candidates to join our growing team as a Record Retrieval Specialist. This person would be calling physician's offices and hospitals to request medical records. All communication with facilities is documented both by paper and within our in-house computer system.
The ideal candidate would take pride in strong customer service and communication skills. If you are a naturally high producer with a strong sense of urgency, then this position might be for you.
This role is an ONSITE at our Tomball, TX office, full time positon with a standard work schedule Monday-Friday (standard hours). It may be necessary to work overtime depending on business needs.
Essential Functions
- Maintain an organized bin rotation of all work orders in your control.
- Enter system updates/notes for inter-departmental work flow. (Examples: processing checks, transfers, film breakdowns, and ordering of films) Research and forward case settled/cancel Emails received from client relations to the appropriate employee and department in a timely manner.
- Forward Time Waivers received from client relations to the appropriate employee with instructions on handling.
- Performing preliminary research on bad addresses on new serves returned from the field.
- Transferring orders to other departments and offices and editing the addresses appropriately.
- In branch offices, the Support position includes acting as receptionist and transferring all incoming calls to the appropriate employee.
- Expedites new orders by calling and verifying addresses and business hours and attempting to fax authorization and WC orders.
- Any additional tasks the supervisor may assign.
Marginal Functions
- Assist with clerical duties such as fax or mail.
Educational Requirements
- High school graduate and/or GED equivalent. Some college desirable but not required.
Experience Requirements
- Prior work experience in customer service, a call center, medical, legal, or insurance claims office.
- Level II requires 1 year within a Document Retrieval position and/or equivalent experience.
Skills and Abilities
- Good understanding of the organization's goals and objectives.
- Introductory analytical, problem-solving abilities and decision making abilities.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Introductory written, interpersonal and organizational skills.
- Some understanding of the internal processes of medical facilities and med-legal terminology.
- Ability to type 35 wpm.
- Bi-lingual a plus.
