Duties
- Greet visitors, clients, and vendors warmly, creating a positive first impression of the organization
- Answer, screen, and direct incoming calls using multi-line phone systems with professionalism and courtesy
- Manage front desk operations, including scheduling appointments and maintaining visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize computer skills with Microsoft Office, Google Workspace, and other office management tools to support daily tasks
- Assist with calendar management and appointment scheduling for staff members or executives
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Requirements
- Proven office experience with strong clerical skills and customer service background
- Excellent phone etiquette and communication skills in both English and bilingual (preferred) languages
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Experience with front desk responsibilities, including multi-line phone systems and visitor management
- Attention to detail for proofreading documents and maintaining accurate records
- Personal assistant or medical/dental receptionist experience is a plus but not required
- Ability to manage time effectively while handling multiple priorities simultaneously
