We are looking for a seasoned veterinary professional to lead our hard-working team as Practice Manager & support team member. The schedule will consist of 4 scheduled days a week, averaging 36 hours weekly, with no Sunday or major holiday hours required. Along with your administrative duties, you will be scheduled to work as an LVT, VA, or CSR at a 60/40 split. Please review the attached job description for a list of expected management responsibilities and tasks.

Our ideal candidate would have at least 3 years of veterinary experience as an LVT, VA, or CSR & 5 years previous management experience. Some familiarity with ezyvet software is preferred, but not required. A commitment to our hospital values are a must.

The Practice Manager is responsible for the following:

  • Maintain a professional and safe environment in the practice and refrain from negative talk, gestures, or implied attitudes that reflect on the hospital.
  • Always keep “team mentality” in mind, be prepared and willing to offer assistance and ask for assistance when needed, keep a positive professional outlook, and abstain from negative observation regarding clients/team members.
  • Oversees equipment maintenance & laboratory controls, ensuring that it is completed.
  • Mailing packages
  • Supports employees through structuring, scheduling, motivation, and education to produce the highest level of employee satisfaction possible.
  • Has knowledge of the employee handbook, support staff job descriptions, vision, mission, and values.
  • Acts as main contact for support staff with questions regarding policy.
  • Keeps employee files up to date and secure
  • Report payroll bi-weekly on employee time sheet document and uploading reports from the PIMS.
  • Responsible for alerting the COO of support staff employment benefit changes. (Medical & dental insurance, Simple IRA, PTO, Bonuses)
  • Fixes employee time clock mistakes
  • Create and maintain a monthly support staff schedule according to hospital needs.
  • Make decisions regarding time off requests, balancing needs of hospital and employees.
  • Keeps track of employee time off and schedule changes in the absence schedule chart.
  • Make sure DVM schedule is correct in PIMS
  • Assists the Director of Teams in recruiting, interviews, and hiring of support staff.
  • Ensures that personnel are properly trained for their position
  • Handles performance evaluations for all support staff utilizing input from the Director of Teams and veterinarians. (Initial 30, 60, & 90 day, Annual review, Performance counseling as needs arise individually, Quarterly check-ins; record and monitor employee compassion fatigue & burnout scores)
  • Perform yearly cost of living meetings with each employee and discuss Total Compensation Statements.
  • Determine the strengths of staff and delegate responsibilities based on those strengths.
  • Mediates professional and support staff personnel problems.
  • Resolve informal employee complaints and assist with conflict resolution.
  • Discuss disciplinary actions needed with the Director of Teams and assist with follow through.
  • Focus on employee engagement and mental health.
  • Assume responsibility for and create positive solutions for mistakes made by support staff.
  • Responsible for keeping the SOP manual up to date.
  • Facilitate monthly (or bi-monthly) staff meetings utilizing collective information gathered from doctors, team members, and ownership.
  • Attend monthly management meetings.
  • Responsible for seeing that success is achieved with each client interaction with veterinary hospital staff.
  • Liaison with clients concerning complaints or problems the client is experiencing with the hospital.
  • Ensure end of day transactions are accurate and prepare the bank deposit.
  • Audit both the preparer and hospital personnel performance to assure that proper methods and techniques are being used.
  • Oversee management of coupon programs to minimize loss and maximize product or monetary reimbursement to the hospital.
  • Client correspondence including reminder cards and sympathy cards.
  • Reports any building maintenance to the proper employee.
  • Maintains advanced knowledge of computer systems with the ability to train other staff members, troubleshoot problems. Then reports further issues to the proper employee.
  • Oversee the entire inventory process, including ordering, receiving, reporting, and maintaining inventory analysis.
  • Purchases hospital, lab, and food supplies while working within a budget.
  • Create & receive orders in PIMS.
  • Responsible for unpacking orders, checking for special orders, and putting clinic supplies away utilizing the first in/first out system.
  • Discuss new products and relay recommendations to the veterinarians and practice owners.
  • Maintains outdated inventory and safe disposal of expired medications and supplies.
  • Monitor inventory levels and ensure accuracy through yearly counts.
  • Communicate backordered products or supply chain issues to doctors.
  • Coordinate with the LVT in charge of controlled substances to reconcile counts, dispose of expired products, and form ordering for our controlled drugs.
  • Oversees the balancing and reporting of controlled drugs.
  • Responsible for ensuring that controlled substance prescriptions are reported to MAPS.
