Role Description
We are seeking a Legal Assistant/Secretary with 3 or more years of civil litigation experience to join our plaintiffs’ practice. The team requires a highly skilled, career driven individual to join our team providing excellent service and representation for our clients. Must be well-organized, detail oriented, and tech-savvy. Must possess excellent document preparation, typing, formatting and prioritization skills. The ideal candidate has a strong work ethic, is flexible and adaptable, and enjoys working as part of a team or under minimal supervision.
This is a full-time, on-site position for a Litigation Legal Secretary/Assistant specializing in Personal Injury (PI) cases, located in Santa Rosa, CA. Responsibilities include preparing legal documents, managing case files, scheduling, maintaining attorney calendars, and providing clerical and administrative support to ensure efficient office operations. The role requires collaboration with attorneys, clients, and other stakeholders to support the litigation process effectively.
Qualifications
Corresponding and communicating with clients, counsel and the courts
Prepare legal documents using correct formatting, based on Code of Civil Procedures and local rules
Drafting pleadings and discovery
E-Filing and Paper Filing (as needed) in State and Federal Courts
Calendaring all events in ProLaw and Microsoft Outlook
Ability to calculate legal deadlines in accordance with statutory local, state, federal and
appellate rules
Apprise and remind attorneys and all necessary team members of deadlines and appearances
Scheduling Depositions, IME’s, etc.
Prepare expense reports and submit client costs for payment
Maintain paperless files and documents following established Firm practices.
Assist Attorneys in all phases of their Civil Litigation practice and Community
Service Activities
Attention to detail and the ability to manage multiple priorities effectively.
Strong communication and interpersonal skills to work collaboratively in a legal team environment.
High level of proficiency with Microsoft Office 365 Word, Excel, Outlook including TOCs/TOAs.
Adobe Acrobat Pro and Essential Forms also needed. Experience in Prolaw is preferred, but not required.
Backup other employees when needed.
Legal Secretary/Assistant program, paralegal certification, or equivalent experience.
Compensation: Competitive salary dependent on experience; Salary range is $38-$48 per hour DOE.
