Our client is a property management firm. They seek a temp Executive Assistant to join their Manhattan, NY office.
Responsibilities
- Manage the CEO’s dynamic Outlook calendar, prioritize scheduling, and optimize time management
- Represent the CEO in meetings, calls, and correspondence with internal teams, clients, and external stakeholders
- Establish a consistent cadence for meetings, deliverables, and expectations to streamline executive operations
- Consolidate discretionary budget requests, prepare reports, and draft correspondence on behalf of the CEO
- Support the CEO during meetings by taking notes, tracking action items, and ensuring timely follow-through
- Liaise between the CEO and stakeholders, ensuring clear communication, involvement, and decision-making at the right time
- Coordinate cross-functional initiatives, deliver status reports, align schedules, and provide meeting support to drive execution
- Oversee personal and business travel, itineraries, and events for the CEO and family, anticipating needs to avoid delays
- Maintain confidential records, files, and data systems while creating efficient processes to streamline office operations
- Follow up with staff, consultants, and external professionals to ensure timely responses and completion of requests
Requirements
- 5 years of relevant administrative experience
- Ability to manage multiple projects in a dynamic environment
- Experience creating structure in complex, time-sensitive situations
- Ability to juggle moving priorities to ensure team success
- Excellent written and verbal communication skills
- Skilled in Microsoft Office, as well as Teams and SharePoint
