OVERVIEW
We are a fast-growing Immigration Law Firm seeking a friendly, motivated, and organized Office Receptionist to join our team. As the first point of contact for our clients, you will be the face of our firm — setting the tone with a warm, professional, and empathetic presence that makes every client feel heard and valued. You will provide a broad range of front desk and administrative support services under the guidance of our Attorneys and Paralegals. Prior experience in the legal field is a plus, but not required — we are committed to training the right candidate.
RESPONSIBILITIES & DUTIES
- Serve as the first point of contact for clients — greet visitors warmly and create a welcoming, professional experience from the moment they walk in or call.
- Answer and manage a high-volume, multi-line phone system; screen, direct, and return calls from existing and prospective clients with professionalism and empathy.
- Conduct initial client intake by gathering key information and directing inquiries to the appropriate attorney or case manager.
- Receive walk-in clients, collect their information, process payments, and create invoices as needed.
- Coordinate directly with the Attorney and case managers to schedule appointments, ensuring no double-bookings and that the team calendar stays current.
- Notify the appropriate team member via the designated communication channel when clients arrive for their appointments.
- Submit required intake information and documents for PNCs into MyCase.
- Assist with scanning, organizing, and filing important legal documents.
- Handle incoming and outgoing mail, including sorting, distributing, and filing correspondence appropriately.
- Maintain a clean, organized, and professional office environment, including open and common areas.
- Ensure all physical and digital files are kept in proper order; file documents once they have been reviewed and approved by the paralegal.
- Scan closed cases and compile relevant information for review and reporting to management.
- Keep management informed of daily office events, client arrivals, and any relevant updates on an ongoing basis.
- Handle all client information with strict confidentiality and professionalism at all times.
REQUIREMENTS
1. Bilingual — fluent in both Spanish and English (spoken and written).
2. Basic computer literacy, including Microsoft Word, Excel, and Outlook.
3. Excellent written and verbal communication skills.
4. Strong customer service orientation with a warm, empathetic, and professional demeanor.
5. Excellent organizational skills and attention to detail.
6. Ability to manage multiple tasks and priorities in a fast-paced environment.
7. Ability to handle sensitive and confidential information with discretion.
8. Comfortable managing high-volume, multi-line phone systems.
PREFERRED QUALIFICATIONS
- Experience in a legal, paralegal, or administrative office setting.
- Familiarity with immigration law processes or legal terminology.
- Experience with MyCase or similar legal case management software.
- Prior experience in a high-volume call center or customer-facing role.
- Active presence on and experience managing social media platforms.
Pay: $15.00 - $17.00 per hour
