Summary Statement
This position reports to the Fiscal Director. The accounting responsibilities of assigned contracted cost centers to ensure accounting practices for the health of AADAP can perform its mission in the community. Provide fiscal oversight and support to the managers responsible for those contracts. This accounting position is assigned agency-wide accounting oversight and support and contributes to problem solving and operational improvements of the Fiscal Office and the Management Team. This position requires the ability to perform independently as a full-service accountant and in compliance with generally accepted accounting principles (GAAP).
Role and Responsibilities
PROVIDE ACCOUNTING SERVICES FOR ASSIGNED CONTRACTS (75%) BY:
- Reviewing and reconciling receivables for assigned contracts, which includes preparation for monthly billing and utilization reports.
- Reviewing check requests, credit card charges, and other expenditures for proper allocation and accuracy on an ongoing basis.
- Reviewing postings by the Bookkeeper for accuracy of amount and allocation to cost centers for contracts.
- Monitoring, adjusting, and recording all prepaid expenses, accrued expenses, and general journal entries for assigned contracts on a monthly basis.
- Calculating and recording indirect costs charged to each of the assigned funds and other assigned contracts on a monthly basis.
- Producing and reviewing monthly revenue expenditure reports to ensure the financial activities and account balances are appropriate and accurate.
- Preparing and posting adjusting journal entries as necessary and in accordance with procedures for assigned contracts when needed.
- Reviewing and advising Managers on relevant budgets and ensuring they are accurately entered.
PROVIDE ACCOUNTING SERVICES FOR AGENCY WIDE COMPLIANCE FINANCIAL ACTIVITIES (20%) BY:
- Producing the financial reports, such as the income statement and balance sheet, for audit and banking reporting.
- Preparing journal entries for investment accounts, prepaid expenses, interest & depreciation expenses, rental space leases, and mortgages.
- Preparing Cash Reports and Revenue & Expenditure Reports for Management and the Board.
- Providing support on cash flow needs.
- Responding to agency-wide Fiscal audits.
- Providing account analyses and preparing budget forecasts; advising Managers on GAAP and contract fiscal policies.
- Ensuring that records and documents are organized and stored properly.
PROVIDING SUPERVISION AND SUPPORT FOR FISCAL OPERATIONS (5%):
- Provide knowledge on policy and procedures.
- Supporting the accounting team in reviewing and overseeing reports provided for external reporting such as audits, banking, and grant receivables.
- Provide training for new fiscal staff.
- Other duties as assigned by the Fiscal Director.
Qualifications:
- Permanent resident or U.S. Citizen; proof of work eligibility upon hiring.
- Bachelor's degree in Accounting, Finance, or related field required.
- At least 5 years of accounting experience.
- Strong analytical, problem-solving, and organizational skills.
- Proficient in accounting software and Microsoft Excel.
- Proficient written and verbal communication abilities.
- Must have three (3) years of recovery or drug free lifestyle as of the date of the application.
Preferred Skills
- Preferred CPA License by a State Board of Accountancy.
- Bilingual or bicultural capabilities with Asian/Pacific languages and cultural groups.
- Knowledge in operating Financial Edge BlackBaud Accounting Software.
- Prior experience with non-profit fund accounting.
- Prefer someone with a driver's license, vehicle and insurance coverage.
Physical Requirements:
Moderate Duty
This class requires that the incumbent stand or walk most of the time with bending, stooping, squatting, twisting reaching, working or irregular surfaces, occasional lifting of objects over 25 pounds, and frequent lifting of 10-25 pounds. Ascending and descending ladders and staircase will be more frequent. An example is this position frequently will be moving and organizing agency supplies. This position will need to lift central storage boxes that weigh around 20 lbs.
