Job Summary

We are seeking a highly organized and proactive Bookkeeper / Executive Assistant to join our busy sales company! In this role you will support the owner of the company and sales staff. This role offers a unique opportunity for growth into accounting and account management, making it ideal for a motived individual looking to advance their career.

The ideal candidate will have a proven track record of administrative support experience, strong organizational and communication skills, and the ability to provide excellent customer service.

Responsibilities

  • Support accounting functions, including invoicing, expense tracking, paying bills, reconciling accounts, and preparing financial reporting
  • Provide comprehensive administrative support to the Owner, including preparing and sending sales quotations, managing sales and expense documentation, and handling correspondence with clients
  • Answering and directing calls, document incoming messages, and follow-up requests
  • Manage office duties such as organizing filing systems, improving office efficiencies, and ordering office supplies
  • Assist in account management, including client communication, order processing, and preparing sales quotations
  • Assist in booking logistics / shipments
  • Collaborate with other staff to support seamless operations and customer satisfaction


Qualifications

  • Degree in Business Administration, Accounting, or related field preferred.
  • Proven experience as an executive assistant with bookkeeping or accounting experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite, especially with Excel and Word, PDF Editor
  • Experience working with Quickbooks is a plus
  • Detail-oriented with strong problem-solving abilities
  • Willingness to learn and grow within the company
