About the Position
We are seeking a reliable, organized, and detail-oriented Administrative Assistant / Bookkeeper to support our growing office operations. This role is ideal for someone who enjoys working in a fast-paced environment, has strong customer service skills, and is comfortable handling bookkeeping, administrative tasks, and office support duties.
Responsibilities
Bookkeeping & Accounting
* Manage company bookkeeping using QuickBooks
* Process customer billing and invoices
* Pay vendor bills and maintain records
* Assist with financial tracking and documentation
Administrative Support
* Perform general administrative assistant duties
* Organize and maintain digital and physical files
* Prepare documents and reports as needed
* Assist management with special projects
Customer Service & Phones
* Answer incoming phone calls professionally
* Assist customers with questions and service requests
* Handle customer support inquiries
* Assist with Annual Maintenance Contract (AMC) customer calls
* Address customer concerns and complaints and coordinate resolutions
Operations Support
* Prepare daily route sheets
* Create and manage work orders
* Maintain accurate service records
* Support office and field staff with administrative needs
Real Estate & Property Administration
* Assist with real estate closing documents
* Maintain lease files and lease-related paperwork
* Track lease documentation and renewals
* Assist with housing permits and compliance paperwork as needed
Additional Duties
* Manage annual vehicle registrations
* Maintain company records and documentation
* Assist with permit applications and renewals
* Perform other administrative duties as assigned
Qualifications
* Experience with QuickBooks required
* Strong organizational and multitasking skills
* Excellent phone and customer service skills
* Proficiency in Microsoft Office (Word, Excel, Outlook)
* Ability to work independently and as part of a team
* Attention to detail and accuracy
* Prior administrative or bookkeeping experience preferred
