Serving the Indianapolis community since 1989, A-1 Auto Service is a family-owned, 9-bay independent repair shop built on a reputation of trust, quality, and legacy. We are currently modernizing our facility and operations. We are looking for a highly organized, tech-savvy, and high-energy Service Coordinator to run our front counter workflow, manage our digital shop calendar, and act as the ultimate gatekeeper for our phone lines and customer scheduling.
Position Overview:
You are the first point of contact for our shop. This is not a passive receptionist position. You will actively manage a high volume of incoming calls, filter out spam, decode vehicle info, and build a highly structured, digital shop schedule. You will work side-by-side with our senior Service Advisor and Shop Owner to ensure a flawless data hand-off from the front counter to the technicians in the bays.
Key Responsibilities:
- Master the Digital Schedule: Answer high-volume inbound phone calls to accurately qualify customer automotive concerns and book appointments using our shop software (Mitchell 1 Manager SE).
- Filter and Route Traffic: Successfully manage the phone flow—take care of basic scheduling, route specific quote/repair callbacks to the Service Advisor, and aggressively screen out spam/vendor solicitations to keep lines clear.
- Streamline Check-Ins: Greet walk-in customers, capture vehicle mileage, use tablet-based tools to snap license plates and decode VIN numbers, and seamlessly build initial digital repair estimates.
- Data Interpreter: Input handwritten technician diagnostic notes and parts requirements into the Mitchell 1 database, ensuring proper parts matrix calculations and professional pricing layouts.
- Maintain the Front Face: Act as cashier for final invoicing, manage customer keys, and maintain a clean, organized, professional lobby environment.
Qualifications & Requirements (Non-Negotiable):
- High Tech-Literacy: You must be highly comfortable navigating cloud-based databases, dual-screen desktop monitor layouts, and mobile tablet tools. Experience with Mitchell 1 / Manager SE, Shop-Ware, or similar shop management software is a massive plus, but we will train the right tech-fluent candidate. No paper logs here.
- Basic Mechanical Literacy: You don't need to be a mechanic, but you must know basic vehicle anatomy (e.g., the difference between rotors and pads, what an alternator does, maintenance intervals) to confidently speak with customers and vendors.
- The "Gatekeeper" Mindset: Exceptional communication skills with a confident, polite, yet firm phone presence. You know how to control a conversation and keep the shop moving efficiently.
- Experience: 1–2 years in a fast-paced retail customer service environment, automotive parts counter (NAPA, AutoZone, Carquest, etc.), or corporate service writing lane is preferred.
