About the Role
Saltaire Legacy Planning is hiring a Client Intake Specialist to serve as the first point of contact for prospective clients and play a key role in converting inbound inquiries into scheduled consultations.
This is a client-facing, sales-oriented role—ideal for someone who is confident on the phone, highly organized, and motivated by helping people take the next step in planning for their families.
You will guide prospective clients through their initial interaction with the firm, ensuring they feel supported, informed, and confident in moving forward.

What You’ll Do
Client Intake & Lead Conversion
- Respond to inbound inquiries (phone, email, web forms) quickly and professionally
- Build rapport with prospective clients and guide them through the intake process
- Qualify leads by understanding their needs (estate planning, probate, elder law)
- Clearly communicate the firm’s services and value to help clients take the next step
- Convert qualified leads into scheduled consultations with attorneys
- Consistently meet or exceed lead conversion and scheduling targets
Scheduling & Coordination
- Schedule consultations and manage attorney calendars efficiently
- Confirm appointments and provide pre-consultation guidance
- Ensure all required client information is collected prior to meetings
CRM & Administrative Support
- Maintain accurate and up-to-date records in CRM (e.g., Lawmatics, HubSpot)
- Track lead activity, follow-ups, and outcomes
- Support the client services team with administrative and intake-related tasks
Client Experience
- Deliver a warm, professional, and high-touch experience that reflects the firm’s values
- Help clients feel comfortable navigating sensitive and important life decisions
What We’re Looking For
Required
- 1–3 years of experience in a client-facing role (sales, intake, customer service, or similar)
- Strong phone presence and ability to build trust quickly
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Comfortable multitasking in a fast-paced environment
- Proficiency with Microsoft Office and CRM systems
Preferred (Not Required)
- Experience in legal, financial services, or professional services environments
- Prior intake or inside sales experience
- Familiarity with estate planning or probate processes
Compensation & Benefits
- Base Salary: $42,000 – $52,000 (based on experience)
- Performance Bonus: $5,000 – $12,000 annually based on:
- Consultations scheduled
- Lead conversion rate
- Appointment show rate
- Paid time off

- Training provided on legal services and intake systems
Schedule & Work Environment
- Full-time (40 hours/week)
- Monday – Friday, 9:00 AM – 5:30 PM
- Hybrid role (combination of in-office and remote work after training)
- Hampstead/Wilmington, NC area
