Position Summary
Administrative Specialists are responsible for assisting management with all administrative responsibilities, including but not limited to project document verification, correction, training, and reporting.
Position Responsibilities
• Compile, verify, and enter project data into data tracking system
• Prepares reports and presentation materials, schedules meetings
• Audit project documentation for accuracy to ensure accurate customer billing (I.e. Project Tracking Log Sheets)
• Train project team members on proper completion of service delivery documentation
• Ensure their work areas are 5s compliant
• Paperwork filing
• Effectively communicate w/ clients to comply with client requests
• Receives and directs visitors
• Answer all incoming calls and route to correct support person
• Maintain office supplies available and order as needed
• Maintain organization of copy room, kitchens and all upstairs common areas
• Send FedEx packages as requested, sorts and distributes mail
• Be capable of working with minimum supervision
• Travel to project locations, as needed
• Be customer service driven
• All other duties, as assigned
Essential Skills and Functions
• Communication – communicates effectively, in verbal and written formats, with all levels of staff, customers, and temporary employees
• Teamwork – supports needs of Operations Team, maintains a positive, professional attitude
• Time Management/Prioritizing – exercises strong time management skills and shifts priorities as needed
• Organization – completes invoice tracking sheets and keeps front desk files in good order so that Accounting and Project Manager can easily access/understand information
• Self-Directed – Works with minimal supervision, continuously strives to grow in skill set and take initiative, makes suggestions for process improvements
Position Qualifications - KSA (Knowledge, Skills, and Abilities)
• Strong written and verbal communication skills
• Typing (45 wpm or more)
• Microsoft Office proficient, specifically Word, Excel, PowerPoint, and Outlook
• High School Diploma/GED
Physical Requirements and Work Environment
Ability to stand, walk, stoop, kneel, crouch and manipulate weights of 10 – 50 pounds for extended periods of time. Hand/eye coordination with arm/hand/finger dexterity including the ability to grasp with visual acuity. Corrected 20/20 vision with no color blindness. Read, comprehend, and apply written work instruction. Able to pass a criminal background check and Able to pass initial and subsequent drug screenings
