Position Summary
The Patient Service Representative serves as the primary point of contact for patients, families, and providers in a fast-paced outpatient setting. This role is responsible for front desk operations, patient registration, insurance verification, appointment scheduling, and referral coordination while delivering excellent customer service. The representative ensures compliance with clinic policies, payer requirements, and HIPAA guidelines, supporting smooth patient flow and quality care delivery.
Key Responsibilities
Serve as the first point of contact for patients both in-person and over the phone; provide professional, courteous assistance.
Greet patients, check them in/out, collect co-payments, issue receipts, and reconcile payments at the end of shift.
Verify patient demographics, benefits, and insurance information using CS-Link/Epic.
Schedule appointments and complete full patient registration accurately and efficiently.
Process, track, and follow up on referrals and authorizations for various insurance types, ensuring timely access to care.
Handle patient/provider correspondence, including messages, documentation, and follow-ups.
Explain policies, procedures, and services clearly to patients and families.
Assist in resolving patient concerns, escalating complex issues to the appropriate staff or supervisor.
Maintain patient confidentiality and adhere to HIPAA standards.
Ensure workspace cleanliness and compliance with departmental sanitation guidelines.
Required Qualifications
1 Years of recent experience in an outpatient clinic or medical office setting.
Experience with medical insurance, referral processes, and benefit plans.
Familiarity with CS-Link/Epic for registration, scheduling, and insurance verification.
Ability to read, understand, and respond to detailed oral and written instructions.
Strong communication, organizational, and problem-solving skills.
Preferred Qualifications
2 years of recent experience as a Patient Service Representative or similar front office healthcare role.
Knowledge of medical terminology and clinical documentation practices.
Bilingual skills (e.g., Spanish, Farsi, or other) a plus.
