Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and managing phone systems with professionalism and courtesy.
- Handle incoming calls with excellent phone etiquette, directing inquiries to the appropriate personnel.
- Manage calendar scheduling and coordinate appointments for staff and management using tools like Field Routes or Microsoft Excel.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
- Oversee office supply inventory, place orders as needed, and maintain a clean, organized workspace.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking.
- Support administrative projects such as preparing reports, managing correspondence, and supporting customer service efforts.
Requirements
- Proven experience in office management, clerical work, or administrative support within a professional environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual abilities are highly desirable to assist diverse clients and team members.
- Previous experience working as a receptionist or in customer support roles such as dental or medical receptionist is advantageous.
- Familiarity with data entry procedures, filing systems, and proofing documents.
