We're looking for an organized, detail-oriented Accounting & Finance Assistant to own our day-to-day accounting processes and help keep our financial operations running smoothly.
The Accounting & Finance Assistant will be responsible for accounts payable, accounts receivable, bank reconciliations, collections, and general accounting support. This person will play a critical role in maintaining accurate financial records, improving cash flow, and supporting month-end close.
Responsibilities
Accounts Receivable
- Generate and send customer invoices
- Apply customer payments
- Monitor aging reports
- Contact customers regarding overdue balances
- Resolve billing discrepancies
- Process customer credits and refunds
- Maintain accurate customer account records
Accounts Payable
- Enter vendor bills and expenses
- Verify quantities, pricing, and purchase documentation
- Schedule and process vendor payments
- Maintain vendor files
- Resolve vendor billing issues
- Reconcile vendor statements
Banking & Reconciliations
- Daily bank transaction matching
- Credit card reconciliations
- Deposit reconciliation
- Payment matching
- Monthly bank reconciliations
- Investigate discrepancies
Accounting
- Maintain accurate QuickBooks Online records
- Review inventory-related purchases for accuracy
- Assist external CPA as needed
Administrative Support
- Customer billing inquiries
- Vendor communication
- Filing and document management
- Maintain organized accounting records
- Other finance and office duties as assigned
Qualifications
- 2 years of bookkeeping, AP/AR, or accounting experience
- Experience with QuickBooks Online (required)
- Strong Microsoft Excel skills
- Excellent organizational skills
- High attention to detail
- Strong written and verbal communication
- Ability to manage multiple priorities
- Problem-solving mindset
Preferred
- Experience with inventory accounting
- Experience reconciling bank and credit card accounts
- Construction, service, or field service industry experience
- Experience with CRM or field service software
