Overview
We are seeking a detail-oriented and organized Office Coordinator to support and supervise our administrative team in the Munfordville location. This role involves managing daily office operations, providing exceptional customer service, and ensuring smooth communication within the organization. The ideal candidate will have strong computer skills, office management experience, and the ability to handle multiple tasks efficiently in a fast-paced environment. Bilingual abilities are a plus to assist diverse client and staff interactions.
Duties
- Greet visitors and answer multi-line phone systems with professionalism and courtesy
- Manage front desk operations, including scheduling appointments and maintaining calendars
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft for document creation, email correspondence, and record keeping
- Handle customer support inquiries via phone or email, providing excellent service and support
- Medical records management and disbursement
- Maintain office supplies inventory and coordinate with vendors as needed
- Navigate EHR systems and PHI while remaining HIPAA compliant
- Support office management tasks such as calendar management, appointment scheduling, and administrative support for various departments
- Perform clerical duties including typing, photocopying, and organizing files
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) applications
- Strong organizational skills with excellent time management abilities
- Experience with office management systems and clerical tasks
- Effective communication skills with proper phone etiquette; bilingual skills are advantageous
- Familiarity with QuickBooks
- Ability to handle multi-line phone systems efficiently and professionally
- Previous office experience in administrative or customer service roles is highly desirable
- Supervising experience preferred
- Attention to detail for proofreading and data entry tasks
- Ability to prioritize tasks effectively in a dynamic environment
- Personal assistant or medical/dental receptionist experience is a plus but not required
Pay: $14.00 - $16.00 per hour
