Essential Functions/ Responsibilities:
- Answering telephones and directs the caller to the appropriate associate.
- Greeting and directing visitors to the company.
- Taking and retrieving messages for various personnel.
- Providing callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
- Receiving, sorting, and forwarding incoming mail. Maintaining and routing publications.
- Coordinating the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assisting in the ordering, receiving, stocking, and distribution of office supplies.
- Assisting with other related clerical duties such as photocopying, faxing, filing, and collating.
- Be updated on products and promotions.
- Receiving, placing, and filling customer orders.
- Creating invoices, processing/updating customer payments.
- Assisting with customer communications, i.e., phone and email correspondence.
- Entering data and other miscellaneous office tasks as needed.
Qualifications
- Bilingual proficiency in English and Spanish, with good written and verbal communication skills
- Customer service and interpersonal skills to effectively interact with clients
- Basic computer proficiency, including email, data entry, and familiarity with Microsoft 365.
- Strong organizational and multitasking abilities
- Basic understanding of administrative procedures and systems.
- Prior experience in retail, sales, or administrative roles is a plus
- High school diploma or equivalent; additional education or training is an advantage
