About the Role
We are looking for a motivated, detail-oriented, and organized Construction Administrative Accountant to support the administrative, financial, and compliance operations of our growing construction firm.
This dynamic position combines accounting, office administration, and project coordination to ensure smooth day-to-day operations and accurate financial management.
Key Responsibilities
Office & Administrative Management
- Maintain office supplies, equipment, and organized filing systems (digital and physical).
- Coordinate project schedules, meetings, and team timelines.
- Serve as a main contact for clients and vendors with clear, professional communication.
- Improve workflow efficiency through automation and process optimization.
Document Control & Compliance
- Prepare, review, and track contracts, bids, and project documentation.
- Manage licensing, insurance, tax filings, and compliance requirements.
- Maintain change orders and ensure budgets and schedules are up to date.
Vendor & Client Coordination
- Negotiate pricing and terms with suppliers and subcontractors.
- Track vendor performance, pricing trends, and delivery timelines.
- Maintain consistent communication across project stakeholders.
Accounting & Financial Management
- Manage project budgets and financial reports with project managers.
- Process AP/AR, payroll, and invoices with accuracy and timeliness.
- Reconcile accounts monthly and support quarterly/annual audits.
- Identify tools for predictive cost modeling and financial automation.
Tax & Audit Preparation
- Keep detailed, organized financial records for tax and audit readiness.
- Collaborate with auditors and ensure compliance documentation is up to date.
- Stay informed of construction-related tax law changes.
Project Support
- Assist with bid prep, vendor verification, and project budget setup.
- Track costs, maintain compliance, and support project closeouts.
- Organize project files and perform post-project financial analyses.
Qualifications needed
- Bachelor’s degree in Accounting(strongly preferred) or Finance.
- Serious (not basic) proficiency in QuickBooks (Online & Desktop); construction management software a plus (e.g., SupplyPro/BuildPro).
- Strong ability to run & filter specialized financial & data reports.
- Strong Excel knowledge (pivot tables, report filtering)(not figuring out as we go).
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities with attention to detail (time allocation).

- Strongly preferred: Proven hands-on experience in construction accounting or administrative roles (3 years of relevant experience).

Pay: $66,000.00 - $90,000.00 per year
