Office Support Staff (Part-Time)

Location: In-Office – Marietta, GA
Schedule: Monday through Friday, 8:00 a.m. – 1:00 p.m.
Pay Rate: $15.50 per hour
Position Overview
A Caring Touch for Seniors is seeking a dependable, detail-oriented Office Support Staff member to support daily administrative, scheduling, and recruitment operations within our home care agency. This role plays a critical part in ensuring caregiver staffing needs are met, shifts are filled, applicants are screened efficiently, and daily office operations run smoothly. This is a part-time position with the expectation that the role will transition to full-time as the agency grows.
Key Responsibilities
Scheduling & Shift Coverage:
- Actively work to fill open caregiver shifts while on duty
- Contact caregivers to cover open shifts and document all outreach
- Assist with real-time schedule updates in AxisCare
- Escalate any unfilled shifts or scheduling concerns to the Office Coordinator
Recruitment & Hiring:
- Manage caregiver recruitment efforts
- Call applicants and conduct initial phone screenings
- Conduct caregiver interviews (in-person or virtual)
- Determine applicant eligibility to move forward based on agency criteria
- Schedule orientations for approved applicants
- Track applicant progress and maintain recruitment documentation
Daily Operations & Administration:
- Review previous day schedules to ensure caregivers clocked in and out correctly
- Contact caregivers to correct missed or inaccurate punches and document corrections
- Answer incoming phone calls and route calls appropriately
- Monitor emails, voicemails, and intake mailbox daily
- Enter and maintain accurate documentation in AxisCare
- Assist with intake calls and lead documentation
- Conduct follow-up calls with caregivers and clients as assigned
Onboarding & Compliance Support:
- Assist with caregiver onboarding and participate in caregiver orientations
- Ensure onboarding paperwork is completed and properly filed
- Track caregiver certifications, annual training and performance reviews
- Assist with compliance monitoring and file accuracy checks
Reporting & Meetings:
- Prepare assigned weekly reports (interviews conducted, applicants moving forward, hires, scheduling support)
- Participate in weekly Monday morning staff meetings at 9:30 a.m.
On-Call Responsibilities
- Participate in a rotating on-call schedule for after-hours coverage
- Answer after-hours phone calls from caregivers and clients during assigned on-call periods
- Assist with after-hours schedule adjustments as needed
- Communicate and collaborate with the Office Coordinator during on-call shifts
- Document all after-hours activity and escalate issues appropriately
Qualifications
- High school diploma or equivalent required
- Prior caregiver, recruiting, or healthcare office experience preferred but not required
- Strong communication, organization, and interviewing skills
- Comfortable working with computers and office software systems
- Ability to maintain confidentiality and professionalism
