Position Summary
ACE Community Support Services is seeking a dependable and detail oriented Office Support Staff member to support daily administrative operations. This role is essential to call management, referral processing, reporting, and internal coordination. Spanish-speaking candidates with mental health experience are strongly encouraged to apply.
This is a temporary-to-hire position with the opportunity to transition to full-time status with benefits after six months of successful performance.

Overview
We are seeking a highly organized and customer-focused Office Support Staff member, with a preference for bilingual Spanish speakers, to join our dynamic team. This role is essential in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong clerical skills, proficiency with office software, and the ability to communicate effectively in both English and Spanish. Key Responsibilities
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professionalism and courtesy.
- Handle data entry, filing, and document proofreading to maintain accurate records.
- Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling tasks.
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards.
- Process referrals and intake documentation accurately
- Prepare and maintain referral and administrative reports
- Maintain organized electronic and paper records
- Support scheduling and coordination for services and staff
- Communicate with clients, referral sources, and partner agencies
- Perform data entry and document tracking
- Assist with authorization tracking and compliance documentation
- Monitor office email and ensure timely follow-up
- Provide administrative support to leadership and program staff
Skills
- Bilingual proficiency in Spanish and English is preferred to effectively communicate with diverse clients and staff.
- Strong computer literacy with experience in Microsoft Office (Word, Excel, Outlook), Google Workspace, and familiarity with office management software such as QuickBooks.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Demonstrated experience in clerical work, data entry, filing, and proofreading.
- Exceptional customer service skills with professional phone etiquette and support capabilities.
- Ability to manage time effectively to prioritize tasks and meet deadlines.
- Previous experience as a front desk receptionist, medical receptionist, dental receptionist, or personal assistant is advantageous.
- Knowledge of bookkeeping practices is a plus for handling basic financial transactions. This role is ideal for a proactive individual who thrives in an administrative setting and values delivering outstanding support to team members and clients alike.
