What are the responsibilities and job description for the Accounts Payable Specialist, M-F position at A-America Inc?
Why A-America
A-America has been distributing furniture people genuinely love for over 40 years. That kind of longevity doesn't happen by accident — it's the result of a team that sticks around and knows how to work well together. A lot of our people have been here for years, and you'll feel that stability from day one. If you're an experienced AP professional looking for somewhere to settle in, you'll fit right in here.
The Role
As our Accounts Payable Specialist, you'll own the day-to-day accuracy of what we owe and when we pay it — invoices, freight, wire and ACH payments, and vendor relationships. You'll report to our Controller and work closely with our General Ledger Accountant, Purchasing, and stakeholders across the organization, including ownership. We're looking for someone who's already accomplished at AP and brings real tenure doing this work — someone who can be the steady, dependable foundation the rest of the team builds on.
What You'll Do
Invoice & Payment Processing
● Process and pay approved vendor invoices accurately and on time, flagging price discrepancies before they become problems
● Prepare payment runs and enter daily wire transfers into our ERP and banking portal
● Set up and maintain ACH and wire payment templates; send remittance advice after payment
● Process and voucher daily Visa charges
Freight Invoice Processing
● Review incoming freight invoices, catch issues, and route them for approval
● Process ocean freight invoices and perform BOL freight analysis reconciliation
Vendor Relationships
● Be the go-to contact for your assigned suppliers — answer questions, resolve discrepancies, and build relationships that make the work easier for everyone
● Request and reconcile vendor statements; track down and resolve missing invoices through to payment
Keeping Things Running
● Keep AP records organized, accurate, and audit-ready
● Pitch in on small logistics like office and kitchen supply orders — we're a small team, and everyone helps out where needed
What Success Looks Like
● Invoices and payments are accurate, on schedule, and discrepancies get caught early — not after the fact
● AP records are organized enough that a teammate could pick up your queue without a scavenger hunt
● Vendors, AR, shipping, e-commerce, and outside sales all consider you responsive and easy to work with
What You'll Bring
● 5 years of accounts payable experience, with a proven track record owning full-cycle AP independently
● Hands-on experience with freight or logistics invoicing preferred
● Proficiency with ERP systems, plus strong Excel, Word, and Outlook skills
● The ability to juggle multiple priorities under deadline pressure without losing accuracy
● Strong written and verbal communication, and good judgment with confidential financial and vendor information
● A detail-oriented mindset and genuine follow-through
● High school diploma or equivalent work experience
Benefits
● Employer-paid employee medical, dental, vision, life, long term disability, AD&D, and Employee Assistance Plan
● Optional life and critical care insurance
● Flexible Spending Accounts
● 401K with 3% employer contribution and profit sharing
● Paid time off (two weeks’ vacation per year for 1st 5 years, then three weeks, sick and 9 holidays)
● Employee purchase plan at discounted pricing
● Dog friendly office environment
THE FOUNDATION OF THIS ROLE
This isn't a role to grow into — it's a role for someone who's already there. You'll be the dependable backbone of our AP function, trusted by Purchasing, our General Ledger Accountant, and ownership alike.
