Job Summary
We are seeking an energetic and highly organized Front Desk Receptionist/Secretary to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and callers alike. Your proactive approach and strong organizational skills will ensure smooth office management, efficient scheduling, and accurate administrative support. Responsibilities

  • Greet visitors professionally, ensuring a warm and positive first impression while managing sign-in procedures
  • Operate multi-line phone systems with excellent phone etiquette, directing calls efficiently to appropriate staff members
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Outlook
  • Perform data entry, maintain filing systems, and handle document proofreading to ensure accuracy and organization
  • Support office management tasks including supply inventory, mail distribution, and basic bookkeeping with QuickBooks or similar software
  • Provide customer support by addressing inquiries promptly and courteously, fostering positive relationships
  • Assist with clerical duties such as typing correspondence, organizing files, and maintaining office records

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management
  • Personal assistant or receptionist experience that highlights time management skills and professionalism
  • Knowledge of bookkeeping tools like QuickBooks is a plus for supporting basic financial tasks
