We are seeking a highly organized, motivated, and proactive HVAC Project Support Specialist to coordinate installation projects and keep operations running efficiently.

Key Responsibilities

Project Coordination & Scheduling

• Coordinate HVAC installation projects from scheduling through completion, managing timelines, milestones, and changing priorities.
• Communicate with customers, field personnel, subcontractors, suppliers, and management to ensure projects stay on track.
• Anticipate scheduling conflicts and delays, proactively resolve issues, and support customer retention and new business opportunities.

Documentation & Administrative Support

• Prepare, submit, and track maintenance agreements, permits, rebates, drawings, submittals, and project reports.
• Maintain accurate records, monitor outstanding requirements, and ensure timely follow-up.
• Support compliance with project specifications, permitting requirements, and company procedures.

Equipment & Material Coordination

• Coordinate equipment procurement, material orders, and deliveries.
• Communicate with vendors regarding pricing, availability, and delivery schedules.
• Track materials and collaborate with internal teams to prevent delays and scheduling conflicts.

Customer Service & Communication

• Serve as a primary customer contact, providing timely updates, realistic expectations, and professional responses to inquiries.
• Follow up after installations to ensure satisfaction and introduce available maintenance and service membership programs.
• Build positive customer relationships that encourage repeat business and referrals.

Qualifications

Required

• 5 years of experience in HVAC, construction project coordination, administrative project support, or a related field.
• General knowledge of HVAC systems and installation processes.
• Excellent communication, organization, time management, and problem-solving skills.
• Ability to independently manage multiple projects, deadlines, and shifting priorities.
• Strong attention to detail, accuracy, and follow-through.
• Proficiency in Microsoft Outlook, Word, and Excel.
• Professional, customer-focused attitude with sound judgment, initiative, and the ability to work with minimal supervision.

Preferred

• 5 years of HVAC or construction industry experience, particularly coordinating residential or commercial installations.
• Familiarity with permitting, equipment procurement, and vendor coordination.
• Experience with HVAC or construction project management software.
