Essential duties
- Greet and assist customers, visitors, vendors, employees, and applicants.
- Maintain a general level of safety and security by monitoring the front parking lot and main entrance to the lobby.
- Answer multi-line phone system and transfer calls to the corresponding person(s), taking messages; answer routine questions according to established guidelines.
- Retrieve voicemails and forward to appropriate personnel or follow-up phone call as needed.
- Retrieve and routing incoming faxes and correspondence as needed.
- Preparing, shipping, receiving, and distributing of packages and mail.
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence to internal and external personnel.
- Maintain communication with housekeeping and the maintenance department to ensure the office building is cleaned and repairs are scheduled as needed.
- Duties such as organizing, filing, typing, copying, collating, binding, scanning, laminating, creating memo correspondence and other documents when necessary.
- Create and maintain filing systems, both electronic and physical
- Maintains office and breakroom supplies inventory, checking inventory while anticipating needed supplies, and placing and expediting orders for supplies.
- Restocking the breakroom, conference rooms, supply closets and cabinets, copy room, and restrooms.
- Running various errands (post office, bank, lunch, etc.)
- Managing the Bids email: entering bid logins, typing proposals, and ensuring proposals are sent to appropriate personnel.
- Filing, inputting, retrieving, and contacting customers with bids and bid information.
- Inform customers of our company policies regarding bidding information as needed.
- Evaluate all potential bids using A-1’s bidding guidelines and respond accordingly.
- Provides administrative support to ensure efficient operation of the office as needed.
- Other duties as required.

- While an associate’s degree is preferred, it is not a strict requirement.
- Essential to possess a minimum of 2 years of experience in a customer service-oriented role.
- Prior proficiency in Microsoft Suite applications is mandatory.
Technical Skills
- Mastery of essential software, encompassing Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat.
- Demonstrated adaptability in learning new software applications.
- Fluent navigation of office equipment, comprising computers, printers, copiers, etc.
- Aptitude for swiftly acquiring fundamental computer skills when required.
- Bi-lingual (Spanish) is strongly preferred.
Supervisory Responsibility
- This position has no supervisory responsibility.
Work Environment
- Time is spent primarily sitting/standing in a climate-controlled office environment or shared office space.
- Periods of walking around the office and up and down the stairs each day will be mandatory for this position.
- Time is spent looking at a computer screen, typing with a keyboard, and using a mouse.
- Minimal construction site visits in outside natural environments are possible.
Physical Demands
- While performing the duties of this job, the employee is regularly required to talk, walk, hear, and see. Specific duties include moving packages and supplies (up to 30 pounds), walking up and down the stairs, and crouching and reaching for items will also be required on a minimal basis.
Position Type and Expected Hours of Work
- The full-time, non-exempt, front desk receptionist will work regular office hours from 7:00 AM to 4:00 PM, Monday through Friday.
- This position involves a 40-hour workweek, with potential overtime as needed.
- The receptionist expected to be present at the front desk to greet visitors, answer phone calls, handle inquiries, and assist with administrative tasks. Additionally, some flexibility might be required during busy periods or for special events.
Travel
- No travel is required for this position; however, there will be days when this employee is expected to make local trips to run errands or pick up lunch.
