Job Overview
We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and professionalism will ensure smooth daily operations and a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your office management expertise while supporting various administrative functions.

Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a professional and inviting environment
  • Manage multi-line phone systems, screen calls, and relay messages promptly and accurately
  • Maintain organized filing systems, data entry records, and ensure documents are properly proofread and filed
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
  • Handle clerical duties including typing correspondence, proofreading documents, and managing incoming/outgoing mail
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office software to support daily operations
  • Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary

Skills

  • Proven experience in office management or administrative support roles with strong organizational skills
  • Excellent communication skills in both English and bilingual capabilities (if applicable)
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and filing systems
  • Familiarity with front desk operations, multi-line phone systems, and customer service best practices
  • Strong attention to detail for proofreading, data accuracy, and document management
  • Ability to prioritize tasks effectively using time management techniques in a fast-paced environment
  • Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is valuable too
  • Knowledge of bookkeeping processes using QuickBooks or similar software is advantageous
  • Demonstrated professionalism in phone etiquette and customer support interactions
