Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant/Marketing Assistant to support our office operations and marketing initiatives. This role involves managing administrative tasks, providing exceptional customer service, and assisting with marketing activities to promote our brand. The ideal candidate will possess strong office management skills, proficiency in various computer applications, and excellent communication abilities. Bilingual skills are a plus, as well as experience with office management systems and customer support.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for daily tasks and report creation
- Assist with calendar management, appointment scheduling, and meeting coordination
- Provide customer service support via phone, email, and in-person interactions
- Manage social media accounts and assist in marketing campaigns to enhance brand visibility
- Maintain office supplies inventory and coordinate office management activities
Requirements
- Proven experience in office administration, clerical work, or related roles
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and office management software
- Excellent organizational skills with the ability to multitask effectively
- Strong typing skills and attention to detail for proofreading and document preparation
- Exceptional phone etiquette and customer service skills; experience with multi-line phone systems preferred
- Bilingual abilities are a plus to assist diverse client needs
- Prior experience with QuickBooks, bookkeeping, or medical reception roles is advantageous
- Ability to manage time efficiently in a fast-paced environment
- Previous experience as a personal assistant or in office management is desirable
