POSITION SUMMARY
The Front Desk / Surgical Scheduler serves as the first point of contact for patients and referring providers at the Cardiovascular Surgery Center. This dual-role position combines high-touch patient reception with the precision-driven coordination of surgical and procedural scheduling. The ideal candidate is detail-oriented, calm under pressure, and comfortable navigating a fast-paced, high-acuity clinical environment.
KEY RESPONSIBILITIES
Front Desk & Patient Services
• Greet patients, families, and visitors in a professional and compassionate manner.
• Check patients in and out; verify demographics, insurance, and referral information at each visit.
• Collect co-pays, patient balances, and issue receipts; reconcile daily cash and credit transactions.
• Answer and triage multi-line phone system; route calls to appropriate clinical staff.
• Obtain and scan insurance cards, photo IDs, and consent forms into the EMR.
• Maintain an organized, welcoming waiting area and ensure HIPAA-compliant handling of all patient information.
Surgical & Procedural Scheduling
• Schedule cases in coordination with surgeons, anesthesia, and OR staff.
• Book pre-operative appointments, labs, imaging, cardiac clearance, and post-operative follow-up visits.
• Communicate surgery dates, times, prep instructions, and facility directions to patients and caregivers.
• Maintain surgeon block schedules and notify staff of changes or cancellations.
• Prepare and distribute daily surgery schedules to clinical, anesthesia, and administrative teams.
• Prepare patient charts
Administrative & Compliance
• Enter and update accurate patient and scheduling data in the EMR/practice management system.
• Ensure all required operative reports, dictations, and consent forms are filed prior to surgery.
• Communicate with referring physicians' offices regarding case updates, results, and continuity of care.
• Assist with faxing, scanning, and managing incoming medical records requests.
• Participate in team huddles, staff meetings, and process improvement initiatives.
• Adhere to all HIPAA, OSHA, and organizational compliance requirements.
QUALIFICATIONS
Education & Experience
• High school diploma or GED required
• Minimum 2 years of front desk or medical office experience required.
• Minimum 1 year of surgical or procedural scheduling experience, preferably in cardiovascular, thoracic, or specialty surgery.
• Prior experience with insurance authorization for surgical procedures strongly preferred.
Knowledge, Skills & Abilities
• Familiarity with cardiovascular surgical terminology, CPT/ICD-10 codes, and OR workflows.
• Proficiency with EMR/practice management systems
• Strong knowledge of insurance verification, pre-authorization, and referral processes.
• Excellent verbal and written communication skills; ability to interact professionally with physicians, clinical staff, patients, and external partners.
• Exceptional organizational skills and the ability to manage multiple competing priorities without error.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
• Ability to maintain composure in high-pressure, time-sensitive situations.
