Job Summary
We are seeking an energetic and friendly Part-Time Front Desk Associate for either 2nd or 3rd shift to join our dynamic team! In this role, you will be the first point of contact for visitors and callers, providing exceptional customer service while managing a variety of administrative tasks. Your positive attitude, organizational skills, and ability to multitask will ensure the smooth operation of our front office environment. This position offers a fantastic opportunity to develop your office management skills while contributing to a welcoming and professional atmosphere.

Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression
  • Answer and route multiple-line phone systems efficiently with professionalism and courtesy
  • Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Support office management tasks including basic bookkeeping with QuickBooks or similar software
  • Assist with clerical duties such as copying, scanning, and organizing files to keep the front desk area tidy and efficient
  • Provide excellent customer support by addressing inquiries promptly and courteously, both in person and over the phone

Skills

  • Proven experience in front desk or office administration roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent phone etiquette and experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry, proofreading, and document management
  • Knowledge of clerical procedures such as filing, calendar management, and basic bookkeeping (QuickBooks preferred)
  • Ability to prioritize tasks efficiently with excellent time management skills
  • Previous personal assistant or administrative support experience is a plus
