Job Description: Parsons is now hiring a Senior Document Control Coordinator to support major transportation projects remotely operating within our Florida Critical Infrastructure team! In this position you'll perform a variety of document control functions under minimal supervision. You will plan, organize, and implement systems for efficient document processing of all communications, supplier documents, design documents, construction documents or other internal or external documents. You will also coordinate the flow of documents between project operations, engineering disciplines, construction team, or other department groups. What You'll Be Doing: Reviewing and processing project related (external and internal) progress payments / invoices and maintaining payment summary logs. Virtually attending regular project progress meetings, writing minutes with follow-up actions and distributing materials to attendees. Implementing document/data management solutions with a primary focus on document control, records management, and configuration management. Administering data/document management applications. Maintaining a filing system approved by the Project Manager and client. Processing documents through all procedural steps in accordance with well-defined procedures and guidelines. Ensuring that pre-established document control requirements are satisfactorily met throughout the duration of the project. Receive, track, and monitor documents using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required. Entering data and producing reports using other standard office automation or department-specific computer applications. Provide assistance to users in capturing and locating electronic information. Maintaining an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution. Expediting review, signature approval, and release of supplier and internally produced documents. Verify retention requirements, arrange document cataloging, packing, and long-term storage or disposal of appropriate documents at time of closeout. Managing scheduled destruction of archived documents according to company and/or Client guidelines; provide assistance with document retrieval. Leading discussion at project change / configuration management meetings. Distributing approved change management documentation to project stakeholders. Serve as liaison between support group, home office and field personnel. Interface with groups inside and outside the organization. Perform other responsibilities associated with this position as may be appropriate. What Qualifications You'll Bring: High school diploma (or equivalent) 8 years of relevant work experience, including 3 years of prior document control experience Prior experience and proficiency utilizing Sharepoint PowerBI experience preferred but not required Working knowledge of Electronic Document Management Systems and Configuration Management processes Good written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to interact effectively with project personnel and management High level of proficiency with Microsoft Office applications Strong organizational skills Minimum Clearance Required to Start: Not Applicable/None This position is part of our Critical Infrastructure team.
