Our team is growing! We are seeking a detail-oriented Administrative Assistant to act as Contract Administrator to help build and grow the business. The ideal candidate is organized, amicable, and wants to make an impact. The Contract Administrator will have a background in building and growing client relationships and a strong background in administrative roles. Reporting to the CEO, the Contract Administrator must be a motivated self-starter able to work effectively.
Location: Boca Raton, FL
Schedule: Monday - Friday, Flexible Hours
Pay: $15 - $17 per hour
Key Responsibilities:
- Manage post-award administration of contracts and open orders.
- Update QuickBooks Online with bills, invoices, and create purchase orders to manufacturers and suppliers.
- Submit Post-Award Requests (PARs) on the Dibbs Website and update customers about contract modifications or delays.
- Track suppliers' on-time delivery performance in the ERP system.
- Create invoices and receiving reports using the WAWF/PIEE system.
- Generate military shipping labels for orders using the Vendor Shipment Module (VSM) system.
Qualifications:
- Bachelor’s or Associate’s degree in Business Administration, Accounting, or a related field.
- 3-5 years of experience in an administrative role.
- Strong organizational and time-management skills, with attention to detail.
- Proficient in Microsoft Office Suite and contract management software.
- Excellent communication skills, both written and verbal.
