About the Role

The Certified Occupancy Specialist (COS) plays a vital role in supporting residents and the property management team by ensuring compliance with HUD, CHA, and other affordable housing regulations. This position manages annual and interim recertifications, maintains accurate resident files, and helps ensure that all leasing and occupancy procedures are completed efficiently and in accordance with program requirements.

The ideal candidate is detail-oriented, organized, and dedicated to providing excellent customer service while upholding regulatory and company standards.


Key Responsibilities

  • Complete and process annual and interim recertifications in compliance with HUD, CHA, and other regulatory requirements.
  • Review and verify resident income, assets, and household data to ensure accuracy and eligibility.
  • Maintain detailed and organized resident files and documentation in Yardi and other systems.
  • Assist in leasing and move-in activities, including application processing and resident orientation.
  • Conduct unit and property inspections as needed and prepare inspection reports.
  • Prepare resident communications, including notices, letters, and newsletters.
  • Respond to resident inquiries and provide exceptional customer service.
  • Support community engagement initiatives and assist with resident events.
  • Identify and report discrepancies or potential compliance issues promptly.
  • Collaborate with property management to ensure timely and accurate reporting.

Qualifications

  • High school diploma or GED required; Bachelor’s degree preferred.
  • Certified Occupancy Specialist (COS) certification required or ability to obtain within 6 months of hire.
  • 1 year of experience with recertifications, leasing, or property management preferred.
  • Knowledge of HUD, CHA, LIHTC, and other affordable housing programs a plus.
  • Proficiency in Microsoft Office Suite; experience with Yardi preferred.
  • Strong communication, organization, and customer service skills.
  • Ability to work independently, manage time effectively, and meet deadlines.
