Project Coordinator (Part-Time, 20–30 hours/week)

Position Summary
The Project Coordinator supports multiple programs and initiatives at 4th Trimester Arizona, ensuring that project activities, timelines, and deliverables align with organizational goals. This role plays a central part in assisting the coordination of the IMPROVE-CIP Project, BCBS Doula Program, and Vitalyst Grant activities. The ideal candidate is highly organized, proactive, and experienced in coordinating complex projects across diverse teams and communities.
The Project Coordinator liaises with internal staff, community partners, and external stakeholders, helps track project performance, and supports planning for major organizational events such as the 4th Trimester AZ Parent Conference and the 4th Trimester Maternal & Child Health Workforce & Policy Summit.
Key Responsibilities
Project Coordination
- Liaise with managers, program leads, and external partners to define project requirements, scopes, and objectives aligned with organizational goals.
- Coordinate internal and external resources to ensure all projects remain on schedule, within scope, and on budget.
- Analyze project progress, adapting scopes or timelines when needed to achieve optimal outcomes.
- Assist in maintaining project performance databases and tracking systems to monitor milestones, deliverables, and attendance.
- Report project risks, updates, and outcomes to management and escalate issues according to project plans.
Program-Specific Responsibilities
- Coordinate activities for projects including scheduling, communications, documentation, and follow-up.
- Draft program proposals, support program development, and assist in implementing improvement strategies.
Event & Convening Support
- Support planning and implementation of major organizational events, including:
- 4th Trimester AZ Parent Conference
- 4th Trimester Ecosystem Summit
- Assist with speaker management, session scheduling, communications, and event-related documentation.
- Assist with on-site support at events and meetings (in-person attendance required).
Team & Administrative Support
- Assign and track tasks for team members based on strengths and project needs.
- Help build staff skill sets and support cross-team learning.
- Serve as a communication point between internal teams and external partners.
- Provide administrative and coordination support directly to the Program Manager.
Required Qualifications
- Three or more years of experience in project coordination or related role.
- Experience coordinating teams, clients, or community partners.
- Proven success working in a professional setting with multiple levels of management.
- Strong organizational, analytical, and multitasking skills.
- Exceptional written, verbal, and presentation abilities.
- Proficiency in Microsoft Office Suite and comfort with online project management systems (e.g., Monday.com, Asana, Trello).
- Reliable transportation for required in-person meetings and events.
- Personal computer and reliable internet connection for hybrid work.
Preferred Qualifications
- Bachelor’s degree in a relevant field (public health, social work, nonprofit management, human services, communications, etc.).
- Professional certification such as PMP (Project Management Professional).
- Familiarity with maternal and child health, perinatal care, doula services, or experience working with diverse communities and families.
Work Environment & Hours
- Part-time position, 20–30 hours per week.
- Hybrid work model with remote work and some required in-person attendance for events, convenings, and meetings.
- Occasional evening or weekend hours may be required during major events.
