From pre-war to modern, baseball player sets to Star Wars and Pokemon, we have assisted hobbyists in building their collections and completing their PSA Set Registries. Job Summary
We are seeking a detail-oriented and highly organized Administrative Assistant to support our Leadership Team and Executive Assistant while helping to ensure the smooth daily operation of our office. The ideal candidate is proactive, reliable, tech-savvy, and able to manage multiple priorities with ease. This role plays a key part in maintaining office organization, assisting with communications, and supporting a wide range of administrative and clerical tasks. Responsibilities

General Administration

  • Perform clerical duties including filing, copying, scanning, and data entry.
  • Maintain office supplies inventory; monitor stock levels and place orders as needed.
  • Sort, distribute, and manage incoming mail.
  • Assist in preparing reports and maintaining organized filing systems (digital and physical).
  • Ensure office equipment (printers, copiers, etc.) is stocked, serviced, and functioning properly.

Operational & Event Support

  • Assist with planning and coordinating in-office meetings, events, and activities.
  • Support coordination of Card Shows, including:
  • Contracts and payments
  • Travel arrangements (flights, hotels, rental cars)
  • Creating itineraries
  • Meal reservations
  • Packing and logistics

Financial & Bookkeeping Support

  • Assist with expense reporting and Accounts Payable functions.
  • Process invoices, track receipts, input expenses, and perform basic bookkeeping tasks.

Team Support

  • Provide general support to colleagues and managers as needed.
  • Take on additional administrative tasks and special projects as requested.
  • Maintain office supplies inventory; monitor stock levels and place orders as needed.
  • Assist in preparing reports and maintaining organized filing systems (digital and physical).
  • Ensure office equipment (printers, copiers, etc.) is stocked, serviced, and functioning properly.

Qualifications

  • Proven office experience in an administrative or assistant role with strong clerical skills and familiarity with office management procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with data entry, filing systems, proofreading, and maintaining accurate records.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Positive attitude with the ability to work independently and collaboratively.
  • Working knowledge of office equipment (printers, copiers, scanners, etc.).
  • Associate or bachelor’s degree preferred.
  • Basic bookkeeping experience (entering expenses, tracking receipts).

Pay: $23.00 - $25.00 per hour

Expected hours: 40 per week
