General Job Description:
The Workplace Coordinator supports the day-to-day operations of the workplace and helps ensure employees, visitors, vendors, and partners experience a safe, organized, efficient, and welcoming environment. This role coordinates office services, facilities support, supplies, workplace requests, meetings, employee experience activities, fleet management, IT coordination support, safety coordination support, workstation setup, field monitors, and client-required safety training reporting.
Position Type: Part / Full Time
Responsibilities:
• Coordinate daily workplace operations, including reception support, mail handling, office supplies, kitchen/breakroom inventory, and general office organization.
• Respond to employee workplace requests and coordinate maintenance, custodial, technology, facilities, repairs, inspections, and service visits with the appropriate team, building management, contractor, or vendor.
• Support meeting room readiness, event logistics, catering, visitor access, and setup/cleanup for workplace events.
• Coordinate seating assignments, office moves, access badges, onboarding logistics, and new-hire workspace readiness.
• Issue and set up desks, monitors, docking stations, keyboards, mice, phones, and other standard workplace equipment; partner with IT support on readiness, basic setup, troubleshooting, and escalation.
• Manage fleet reservations and coordinate vehicle availability, maintenance, inspections, repairs, registration renewals, cleaning, fuel card support, and vendor appointments.
• Maintain fleet records and reporting, including usage logs, mileage, maintenance history, incidents, reservation activity, expenses, and related operational metrics.
• Restock workstations and shared areas; maintain safety supplies including PPE and first aid materials; manage field monitor assignments, availability, readiness, service, and replacement.
• Maintain reporting for completed client-required safety training, including employee completion status, records, and reports for internal teams or clients.
• Maintain accurate records for workplace requests, vendor services, supply orders, invoices, and office procedures; monitor workplace safety, cleanliness, and company-policy compliance.
• Manage Airbnb reservations, turnover cleaning, maintenance services, and supply stocking, and support employee engagement initiatives that promote a positive and productive workplace experience.
Qualifications:
• High school diploma or equivalent required; associate or bachelor’s degree in business administration, hospitality, facilities management, or a related field preferred.
• Applicants must be over the age of 21.
• 1–3 years of experience in office coordination, facilities support, administration, hospitality, customer service, or a related role.
• Strong organizational skills with the ability to manage multiple priorities and respond quickly to changing needs.
• Excellent written and verbal communication skills with a professional, service-oriented approach.
• Proficiency with Microsoft Office, email, calendars, shared documents, and basic workplace technology.
• Ability to work independently, follow procedures, maintain confidentiality, collaborate across teams, and remain active throughout the workday as needed.
Preferred Skills and Attributes:
• Experience coordinating vendors, facilities services, fleet operations, vehicle maintenance, office moves, workstation setup, onboarding logistics, or basic IT support.
• Experience with safety supply inventory, field monitor tracking, client-required safety training records/reporting, and knowledge of workplace safety or emergency procedures.
• Positive attitude, attention to detail, problem-solving ability, and a strong sense of ownership.
